Manage Position Occupants

- New Organization Designer user interface -

You can make the following changes to position occupants in the Occupants tab of the position panel:

  • Edit the effective dates during which an employee is assigned to a position
  • Swap an employee’s primary and secondary positions
  • Remove an employee from a position
  • Revert an employee to their previous position

Edit Occupant Effective Dates

To edit the effective dates of an occupant:

  1. Go to Organization DesignerPositions.
  2. Select a position and go to the Occupants (Occupants tab icon.) tab.
  3. Click the additional options menu next to the occupant that you want to update and then select Edit.
  4. Enter the effective dates in the Effective From and Effective To fields. You can’t edit the Effective To field if the Is this the Primary position? checkbox is selected because end dates aren't supported for primary assignments.
  5. Click Save.

Swap Primary and Secondary Positions

You can use the swap feature to swap an employee’s primary and secondary positions. For example, an employee’s primary position is Front Desk Receptionist, and they have a secondary position of Maintenance. You can use the swap feature so that Maintenance is now their primary position and Front Desk Receptionist becomes a secondary position.

To swap an employee’s primary and secondary positions:

  1. Go to Organization DesignerPositions.
  2. Select the employee’s primary position and go to the Occupants tab in the position panel.
  3. Click the additional options menu next to the employee and select Swap Position.
  4. Select the position that you want to be the employee’s new primary position.
  5. Optionally, select a start date in the Effective From field.
  6. Select a primary location.
  7. If the position is virtual, click the Virtual switch.
  8. Click Swap Positions.

Remove an Employee from a Position

When you remove an employee from a position, the position assignment and position work assignment are removed from their record if they have no prior position.

To remove an occupant from a position:

  1. Go to Organization DesignerPositions.
  2. Select a position and go to the Occupants tab in the position panel.
  3. Click the additional options menu next to the employee that you want to remove, and select Remove.

Revert an Employee to Their Previous Position

If the employee has prior position assignments, you can revert the employee to their previous position instead of removing them. When you revert an employee to their previous position, the existing position and work assignment are removed and they’re reassigned to their previous position. If another employee is now occupying their previous position, you must remove that employee first. If the employee’s previous primary assignment was as an interim occupant in the same position you’re reverting them from, they return to being the interim occupant.

To revert an employee to their previous position:

  1. Go to Organization DesignerPositions.
  2. Select a position and go to the Occupants tab in the position panel.
  3. Click the additional options menu next to the employee that you want to revert, and select Revert.
