You can generate the VETS-4212 Filing Report in the Hiring Locations tab for a selected template. The options for generating the report are shown when you click Export in the toolstrip. The Export button is only enabled when you are in the Hiring Locations tab, and not the General tab.
Before You Begin: See Configure Filing Templates.
| Option | Description |
|---|---|
| VETS-4212 Filing Report | Generates a version of the report that’s compatible with the Department of Labor (DOL) online filing system. |
| VETS-4212 Filing Report with Headers |
Generates the same report as the VETS-4212 Filing Report option, with headers in the first row to describe each column, allowing you to more easily review the data and make corrections. The following is an excerpt of the report showing headers such as Company No that aren’t shown if you select the VETS-4212 Filing Report option:
The CSV file that is generated using this option has _H added to the end of its file name to indicate that it contains headers. For example: VETS4212201900000_H. Important: To upload the file generated by the VETS-4212 Filing Report with Headers option to the DOL website, you must remove the first row of column headers from the file and the _H from the file name; otherwise, the file won’t be compatible with DOL online filing requirements. |
Note: The Export menu also shows the Employees with Exceptions option for generating a CSV file of employees who aren't included in the VETS-4212 Filing Report as a result of missing data. See Export Employee Exceptions.
When you select the VETS-4212 Filing Report or VETS-4212 Filing Report with Headers option, Dayforce makes sure that the address information and compliance properties defined for each hiring location are present. If information is missing, Dayforce shows a warning dialog box. In this case, click Yes to continue generating the file with the missing data, or No to cancel.
The Problems panel shows a list of warnings for missing information, such as the following:
You can't update this information in the Hiring Locations tab. Instead, you must update it in Org Setup.
Important: You must keep the file in the CSV format for the DOL online filing system to accept it. For example, don’t save it as an Excel Workbook file (XLSX).
Notes about the columns in the CSV file:
- The Employee ID column is based on the Federal/Business ID Number field of the legal entity to which each site belongs in Org Setup > Org Payroll Setup > Legal Entity.
- It’s expected behavior for the site that you defined as the headquarter location to not show a value in the Name of Hiring Location and HL address columns.
- The Number of MSC Locations column isn’t used. MSC stands for Multiple Establishment - State Consolidated, which isn’t supported.
