Generate the California Employee Data Report

In the Establishments tab of California pay data templates, you can generate the California Employee Data report to see if employees from the filing period are missing any data. This report is for review purposes and not for submitting to the California Civil Rights Department (CRD). This report can also provide insight into how Dayforce has aggregated the numbers in the pay data report.

Important: Only certain roles should be assigned access to this report; the file generated gives access to employee-level data. It’s different from the California pay data report, which doesn't identify specific employees.

Role feature access: HR Admin > HR Admin > Compliance Reporting > EEO > California Pay Data Reporting > California Employee Data Report.

This report is generated in the CSV format and includes all of the employees who are counted in the CA Employee Count column of the Establishments tab of a template. These are California employees who are on the employer's payroll for the snapshot period defined for the template, and have the required ethnicity, gender, and job category data. If an employee is missing this data, they aren't counted in the CA Employee Count column but are included in this report.

You need to resolve these issues in the area of Dayforce where corresponding data is managed. See the following sections:

  • Missing Info? (Displays Y or N depending on whether the employee has annual salary and hours worked data)
  • Employee Name
  • Employee Number
  • Establishment
  • Job Category
  • Gender
  • Race/Ethnicity
  • W-2 Box 5 (Annual Salary)
  • Hours Worked
