Before You Begin: The Form Submissions section only displays forms that are enabled for your role and assigned the HR Profile Forms List parent feature in Workflow Administration > Role Privileges.
In the Form Submissions section of the Forms screen in People, you can view and take action on forms that were submitted by or on behalf of the employee:
For forms that are pending approval, an approver’s name is shown next to the status. If more than one person can approve the form submission, you can click the arrow to expand the list of approvers. If an approver is a non-employee user, their user ID is displayed instead of their name.
You can click the Search arrow at the top right of the section to expand the filter panel, where you can enter all or part of a form name to search for it. You can also filter forms by the pending, rejected, and accepted statuses.
Each form in the list can display one or more buttons like View Details or Withdraw. The buttons displayed can depend on whether you are a form submitter or approver and the current status of the form.
| Button | Description |
|---|---|
| View Details | Shown for all users who have access to the form, regardless of the form status. This button opens the form for you to view and print, but you can't save any changes to the form. |
| View and Edit Details | Only shown if you are the submitter and the form has the Pending status. This button opens the form for you to update it. Click OK to submit the updates. |
| Withdraw | Only shown if you are the form submitter and the form is still pending approval. You can click this button to cancel a form that is pending approval, for example, if the form is no longer needed. When you select this button, a confirmation dialog box opens, and you can click OK to continue. The status of the form changes to Withdrawn, and approvers can no longer see or act on the form. |
| Approve/Reject | Only shown for users whom the form was sent to for approval. You can click Approve or Reject to take action on the form. |
| Comments | Expands a tooltip that displays comments added by approvers to the Response field of the form. |
