When an employee who occupies a position is terminated, Dayforce automatically applies a series of updates to position assignments and related work assignments. Understanding these updates can help you to make sure that position data, vacancy tracking, and other related processes are accurate. The following sections describe how termination affects employees in positions, how position and work assignment data is handled, and what actions are supported if termination dates are adjusted after they’re applied.
Termination Behavior for Employees in Positions
When you terminate an employee who occupies a position, Dayforce does the following actions:
- The employee’s position assignment is end-dated as of the termination date.
- Any position-based work assignments associated with that position are end-dated.
- A snapshot of the employee’s work assignments is saved and is no longer affected by future position changes.
- The position becomes vacant as of the termination date unless another occupant (such as an overfill or interim occupant) is assigned.
Work Assignment Handling After Termination
When an employee leaves a position without moving into another position:
- Their position-based work assignments are end-dated.
- The resulting work assignment records are saved as historical snapshots and are no longer linked to the position.
- Future changes to the position (such as changes to job assignment, locations, or hierarchy) don’t affect the terminated employee’s records.
This method helps to keep historical scheduling, payroll, and reporting data consistent.
Expected Vacancy Date on Positions
If the Auto populate termination date as the expected vacancy date on employee's positions client property is enabled, Dayforce automatically populates the employee’s termination date as the expected vacancy date on the position they occupied.
This date is used for vacancy tracking and workforce planning. You can also manually update the expected vacancy date in Organization Designer, if needed.
For details about this field, see “Occupants Tab" in Position Settings.
Changing an Employee’s Termination Date
In some cases, you might need to adjust an employee’s termination date after it has already been processed. When this occurs for an employee who occupied a position, additional steps are required so that position assignments and work assignments align correctly with the updated termination date.
Consider a scenario where an employee was terminated effective December 5. As part of the termination, the employee’s position assignment was end-dated, and the work assignment snapshot was created, as expected.
Later, the termination date changes to December 10, and this change is made to the employee’s status records. After this change, the position assignment and work assignments must be updated to match the new termination date. You can align the employee’s assignments with the updated termination date using one of the following approaches:
- In Organization Designer: Update the end date for the position assignment in Organization Designer > Positions to the new termination date of December 10.
- In the employee’s profile in People: In the Work > Work Assignments screen, update the job work assignment start date to the new termination date of December 10.
- Note: Due to a limitation, updating the end date for the position assignment from the employee profile doesn’t work in this scenario. You must update end dates for position assignments in Organization Designer.
