In HR Admin > Employee Number Generator, you can configure the numbering convention that Dayforce uses to automatically generate employee numbers. The settings in the Employee Number Generator screen are optional and you can define them in any combination to generate the desired employee number format.
At the top of the screen is a formula that shows how each setting leads to the employee number that is generated. At the bottom of the list of settings, the read-only Next Generated Employee Number field provides a preview of the next employee number generated based on how the settings are defined:
| Setting | Description |
|---|---|
|
Prefix |
An alphanumeric value of up to 5 characters attached to the beginning of generated employee numbers. For example, you can add the current year to the beginning of employee numbers. |
|
Employee Number Offset |
The number that Dayforce begins at when it generates new employee numbers. Dayforce increments the value by one as it generates each subsequent number. For example, if you enter 1000, the next employee number generated is 1001. |
|
Suffix |
An alphanumeric value of up to 5 characters attached to the end of generated employee numbers. For example, you can add the current year to the end of employee numbers. |
In addition to these fields, Dayforce shows the following settings that, by default, aren't available for editing. However, you can edit these settings if you need to reset the employee number count on a periodic basis or add additional digits (padding) between the prefix and employee number offset. See Employee Number Generator Example.

Padding Digit |
These fields are only enabled if the Reset Employee Number checkbox is selected. In the Padding Digit field, enter a single digit between 0 and 9 to define which padding digit is used in the employee number. In the Number of Padding Digits field, enter a single digit between 1 and 9 to define how many padding digits are included in the employee number. The number of digits is combined with the value that you enter in the Employee Number Offset field, with the remaining digits (the padding) added to the left of the offset amount. For example, say that you define fields as follows:
As a result, the next employee number 201900101 is generated. |

Reset Employee Number |
When this checkbox is selected, new employee numbers reset and start incrementing from the number defined in the Employee Number Offset field. Also, selecting this checkbox enables the Padding Digit and Number of Padding Digits fields. This checkbox is enabled only if the following is true:
