Create Employee Properties

To create an employee property:

  1. Go to HR Admin > Employee Properties.
  2. Click Add and enter a name and description in the corresponding fields.
  3. (Optional) Select one or more roles in the Role Security drop-down list that can assign the employee property to employees. If you don’t select an option, all roles can assign the employee property to employees.
  4. (Optional) Select the Generate HR Event checkbox. This checkbox is used with the Dayforce Benefits module to trigger a workflow that recalculates an employee's eligibility for a plan. See Configure Employee Properties to Generate HR Events.
  5. (Optional) Select the Use Property Effective Date as HR Event Date checkbox to set the HR event date to the effective date of the employee property. If you clear this checkbox, Dayforce sets the HR event date to the current date. See HR Event Dates for Employee Property Changes.
  6. (Optional) Select the Use Property as a Letter Management Token checkbox to allow this employee property to be used as a token in letter templates. See Use an Employee Property as a Token in the Letter Management Guide.
  7. (Optional) In the Personal Management Policy Type drop-down list, select one of the following options: WFM, Benefits, Payroll, HR, or Recruiting. If you don’t select an option, the drop-down list remains cleared when you save, but the employee property is assigned the HR personal data policy type by default.
  8. Organizations can use personal data policy types to manage data minimization requirements for different types of data in Dayforce. See Personal Data Management Administration in the Dayforce Implementation Guide.
  9. Note: The Personal Management Policy Type drop-down list is controlled by the Employee Properties Admin - Person Management Policy Type access authorization in the Authorizations tab of System Admin > Roles. When the Can Read and Can Update checkboxes are selected for their role, users can view and edit the Personal Management Policy Type drop-down list. The Can Create and Can Delete checkboxes aren't applicable.
  10. In the Data Type drop-down list, select one of the following options to specify what users need to configure when they add this employee property to an employee's profile:
    • Pick List: A drop-down list. When you select this option, Dayforce shows the Mode drop-down list and the Pick List Options section below the Data Type drop-down list, and you must add the options that users can select.
    • Numeric: A field for entering a number.
    • String: A field for entering alpha-numeric value.
    • Boolean: A checkbox that users can select or clear to indicate whether something is true or false.
    • DateTime: A field for selecting a date.
    • Time: A field for selecting a time of the day.
  11. If you selected Pick List in the Data Type drop-down list in step 6, configure a mode and add options to the pick list:
    1. In the Mode drop-down list, select one of the following options:
      • Read Only: Select this option to prevent users from changing the options in the Pick List Options section. Dayforce grays out the Add, Copy, and Delete buttons.
      • Edit: Select this option to allow users to change the options in the Pick List Options section.
    2. Add options to the Pick List Options section as follows:
      • Click Add.
      • Enter a name and reference code in the corresponding fields. Reference codes are used to export data to other applications. These codes must be unique and must not contain special characters.
  12. In the Assignable drop-down list, select One at a time or Many at a time to configure whether users can add one or more active records for the employee property to an employee's profile.
  13. For example, if you create an employee property to record vehicle license plates, you could select Many at a time. Then, if an employee has more than one car, they can add a separate instance of this client property to record license plates for each vehicle.
  14. Conversely, if you create an employee property that records whether the employee has submitted a proof of annual parking plan, you would select One at a time so that there can only be one active employee property to track this.
  15. Click Save.
