Configure EEO-1 Filing Templates

In HR Admin > Compliance Reporting > EEO, you can create one or more EEO-1 filing templates, depending on your organization’s needs. Each template holds the parameters that are used to generate EEO-1 Component 1 reports for an individual company.

Among the parameters that you need to define in a template is the company number that is provided to your organization by the EEOC. If your organization has only one company number, you only need to create one template per filing period. If your organization is comprised of multiple companies that have their own company number, you would create a separate template for each company number.

For example, say that an organization includes Company A and Company B, each with their own company number provided by the EEOC. In this case, you would create two templates in the EEO subfeature. In the template for Company A you can generate the Component 1 reports for that company. You can do the same for Company B in its template.

The EEO subfeature is divided into two areas: the left sidebar displays a list of templates that you and other users add. The remaining portion of the screen is for working on the template that is selected from the left sidebar. You can click the collapse icon at the top of the left sidebar to minimize it.

The details of the selected template are divided into the General and Establishments tabs:

Each tab is described as follows:

  • In the General tab, define the attributes that are common to the establishments that are reported under the template.
  • In the Establishments tab, review and generate EEO-1 reports for the template. The Establishments tab is intended to be used after you configure the details in the General tab.

To configure a filing template:

  1. Go to HR Admin > Compliance Reporting > EEO.
  2. Click Add > EEO-1.
  3. Fill out the settings in the General tab, as needed. See General Tab Settings List.
  4. Click Save.

The following is a description of the settings available in the General tab of an EEO-1 filing template in HR Admin > Compliance Reporting > EEO.

Name

The name of the EEO-1 template.

Description

A description of the EEO-1 template.

OFS Company Number

A unique identifier for the company that you're generating the reports for.

NAICS Code

The six-digit North American Industry Classification System (NAICS) code that reflects your company's industry. Each establishment is reported with the NAICS code provided here, unless there is an override defined for an individual site, in the NAICS Code field in the Organization > Compliance Properties tab of Org Setup > Organization.

Legal Entity

The organization's US legal entities. By default, all US legal entities are selected, but you can clear the ones you want to exclude.

In Dayforce, establishments roll up to legal entities. As such, the legal entities that you select determine which establishments are reported on in the EEO-1 filing reports for the template.

For example, say your organization has two companies for which it needs to generate separate reports, and these companies are aligned to two separate legal entities in Dayforce. To produce a file for each company, you would create two templates in the EEO subfeature. In the first template, you would select the first legal entity and in the second template, the second legal entity. As a result, each template only reports on establishments that roll up to the legal entity selected.

Headquarters Location

The establishment that is designated as the headquarters in EEO-1 reports. Shows a list of establishments that roll up to the legal entities selected in the Legal Entity setting.

Qualifiers (Section)

Payroll Filing Period

The first and last day of the pay period included in the report. If the start and end dates span multiple pay periods, data from the earliest pay period is used in the file.

Pay Class

The pay classes for which employees are included in the report. For example, you could use this parameter to display records only for part-time employees.

Position Term

The position terms for which employees are included in the report. Position terms are configured in the Position Term tab of Org Setup > Jobs and Job Assignments.

Employment Indicator

The employment indicators for which employees are included in the report. Employment indicators are configured in the Employment Indicator tab of Org Setup > Jobs and Job Assignments.

Certifying Official (Section)

Contains fields for identifying the company official who certifies EEO-1 reports. A certifying official refers to any employee in your company tasked with certifying your submitted report information.

Name

Details of the certifying official. For the Telephone Number (Including Area Code) field, enter the number without brackets, dashes, or spaces.
