Assign Delegate Access

In the Delegation tab of the Security Access section in the Security Settings screen of People, you can delegate access so that one user can log in as another. For example, a manager could assign a delegate while they’re away on vacation, so that they can complete tasks like approving requests on their behalf.

Important: For security reasons, access should be delegated from managers to other managers rather than from managers to employees.

To delegate access to the employee's account:

  1. Go to People, open the employee profile, and click Security Settings.
  2. In the Security Access section, click the Delegation tab and then click Add.
  3. In the Delegatee drop-down list, select the employee you want to delegate access to.
  4. Enter the effective dates for the delegation.
  5. Note: Dayforce limits the number of days in a delegation period based on the number specified in the Delegation Duration Maximum (in Days) client property in the General section of the Properties tab in System Admin > Client Properties.
  6. In the Delegation Reason drop-down list, select the option that best represents why you're delegating access.
  7. (Optional) Use the following checkboxes for restricting private information. These checkboxes are shown only for certain roles. If you can’t see the checkboxes, they’re all selected by default in the background, so that private information is restricted. Access to these settings is configured in HR Admin > Delegation Setup:
    • Restrict Pay Information Access: Select this checkbox to hide pay information for employees who report to the user delegating access from the delegatee. Clear the checkbox and the delegatee can see pay information as long as they’re assigned the Employee Pay Information access authorization.
    • Restrict Compensation Feature Access: Select this checkbox to prevent the delegatee from accessing Compensation features. Clear the checkbox and the delegatee has full access to Compensation (if it’s enabled for the employee they’re being delegated access to).
    • Restrict Performance Feature Access: Select this checkbox to prevent the delegatee from accessing performance information. When this checkbox is selected, the delegatee doesn't have access to Performance features or performance information in the Talent screen of People. Clear this checkbox and the delegatee has full access to Performance (if it’s enabled for the employee they’re being delegated access to), and they can see performance information in the Talent screen of People.
    • Restrict PII Documents Access: Select this checkbox to prevent the delegatee from viewing documents containing personally identifiable information (PII). See the Document Management Guide.
  8. (Optional) Use the following checkboxes for restricting the delegatee’s access to Message Center when they’re logged in to the employee’s account. These checkboxes are shown only for certain roles. If you can’t see the checkboxes, they’re all selected by default in the background, so that access to Message Center is restricted. Access to these settings is configured in HR Admin > Delegation Setup:
    • Restrict Compose - Messages: Controls the availability of the Compose button. With the checkbox cleared, the delegatee can compose and send messages on the delegator’s behalf. Select the checkbox to restrict their access.
    • Restrict Approvals - Messages: Controls the availability of the Approvals folder. With this checkbox cleared, the delegatee can open the Approvals folder and approve or deny requests on the delegator’s behalf. Select the checkbox to restrict their access.
    • Restrict Messages - Messages: Controls the availability of the Messages folder. With this checkbox cleared, the delegatee can open the Messages folder and see all of the delegator’s messages. Select the checkbox to restrict their access.
    • Restrict Reports - Messages: Controls the availability of the Reports folder. With this checkbox cleared, the delegatee can open the Reports folder and see all of the messages in it. Select the checkbox to restrict their access.
    • Restrict Notifications - Messages: Controls the availability of the Notifications folder. With this checkbox cleared, the delegatee can open the Notifications folder and see all of the messages in it. Select the checkbox to restrict their access.
    • Restrict Actions - Messages: Controls the availability of the Actions folder. With this checkbox cleared, the delegatee can open the Actions folder and see all of the delegator’s pending workflow forms and take action on them. Select the checkbox to restrict their access.
  9. Click Save.
