System XML Forms for Enhanced Employee Gender

System XML forms have been updated to support Enhanced Employee Gender. System XML forms are forms created and maintained by Dayforce and nested under System in Workflow Administration > Form Builder.

Before You Begin: This topic is applicable for customers who have never used custom XML forms to capture gender or gender identity information.

System XML Forms Before Dayforce Release 2025.1.0

Before Dayforce Release 2025.1.0 and the migration to Enhanced Employee Gender, gender and gender identity were shown as drop-down lists in system forms, as shown in the following screenshot:

Gender was the legal sex for an employee. The Gender drop-down list was hardcoded, and could be Male or Female. In Germany, two additional values of Indeterminate and Diverse were also available. The Gender Identity drop-down list (not shown in the preceding screenshot) pulled its value from HR Admin > Gender Identity. The Gender Identity drop-down list allowed users to provide a non-legal gender value for an employee.

System XML Forms After Dayforce Release 2025.1.0

In Dayforce Release 2025.1.0, all of the system XML forms that previously contained Gender or Gender Identity drop-down lists now show the new Gender grid instead:

Gender Grid

The Gender grid in XML forms contains the fields described in the following table.

Gender grid settings
Setting Purpose
Country The country the gender record is being provided for. Country information provides context for all of the other fields in the grid. Country is always required when a record is added to the gender grid. The Country field is automatically populated based on the employee’s pay group selected at the top of the form. All countries are shown in the drop-down list, whether or not the country has been configured in (HR Admin > Employee Gender Admin > Gender.
State/Province (US and Canada only) If the United States or Canada is selected in the Country drop-down list, the State/Province field is mandatory for non-federal records.
Assigned Sex

Assigned sex information is provided by the configuration in HR Admin > Employee Gender Admin > Gender. If the customer hasn’t configured a particular country, US state, or Canadian province, the default options of Male and Female are provided. Assigned sex options are blank if the Collect Assigned Sex Information option is cleared for a particular country, state, or province. Also, if the Make Assigned Sex Mandatory option is cleared for a particular country, state, or province, assigned sex options aren’t required.

Gender Identity Gender identity information is provided by the configuration in HR Admin > Employee Gender Admin > Gender. If the customer hasn’t configured a particular country, US state, or Canadian province, the default options of Male and Female are provided. Gender identity options are blank if the Enable Gender Identity option is cleared for a particular country, state, or province. Entering a gender identity is always optional.

Gender Grid Mandatory Information

Unlike the legacy Gender drop-down list, the Gender grid isn’t mandatory. This allows customers to not provide any gender information for certain employees (for example, temporary contractors). However, when an employee or manager selects a country in the Country drop-down list of the Gender grid, some options become mandatory.

Effective Dating

As with other areas of the system, if the Display Enhanced Gender Last Modification Information and Effective Dating client property has been enabled for a customer, system forms will also automatically enforce these options:

When the Display Enhanced Gender Last Modification Information and Effective Dating client property is enabled, records work more like an employment status record. This change in behavior means that records must flow from one date to the next and any ‘gaps’ in records are fixed after the form is submitted. Federal Event on Forms

When an employee is in the United States or Canada, and the new Gender grid is in use, Dayforce invokes the federal event to make sure that the employee has a record at the state or province level and a record at the country level. The federal event isn’t applicable in other countries.

For example, when an employee provides a singular binary record, or multiple consistent binary records, the following occurs:

  • Assigned Sex: Male
  • Gender Identity: Male

Dayforce Automatically Created Federal Record

A warning is shown to make sure that employees are aware that a federal record has been created.

However, if the employee provides a singular non-binary, or multiple inconsistent binary or non-binary records, the following occurs:

  • Assigned Sex: Non-Binary
  • Gender Identity: Non-Binary

Dayforce Automatically Created Federal Record

A warning is shown to let employees know that they must provide Dayforce with a binary value for the federal record because it can’t be determined automatically.
