Configure the Collection of Gender Data

In HR Admin > Employee Gender Admin > Gender, you can add, copy, or delete geographic areas and their gender data options. You can add any country, US state, or Canadian province, but some have defaults that can't be changed for compliance reasons. For example, gender identity can't be used at all in Germany because it's not compliant with government regulations. Therefore, if you select that option for Germany, you'll get an error message.

The settings that you configure for a country, US state, or Canadian province apply to the employees who belong to pay groups for that region.

Configuring gender data involves performing the following tasks:

  1. Adding the region you want to collect and configure gender data for.
  2. Configuring which assigned sex and gender identity options are permitted for employees in the selected region.

Add Countries

To set up gender data collection for a country:

  1. Go to HR Admin > Employee Gender Admin > Gender and click Add.
  2. Select the country that you want to configure.
  3. Note: If you select the United States or Canada, you must also select a state or province in the State/Province drop-down list.
  4. Complete the fields:
    Gender configuration settings

    The country this gender data applies to.

    If you select United States of America or Canada, you must select a value in the State/Province field.

    State/Province

    The US state or Canadian province that this gender data applies to.

    The State/Province drop-down list is available only if you select United States of America or Canada in the Country drop-down list.

    Collect Assigned Sex InformationWhen selected, Dayforce collects assigned sex details for employees in the selected region. When cleared, all assigned sex settings are removed from Dayforce.
    Make Assigned Sex Mandatory

    When selected, Dayforce makes assigned sex fields mandatory in forms and in the People feature. When cleared, these fields are optional.

    The Make Assigned Sex Mandatory checkbox is available only when you select the Collect Assigned Sex Information checkbox.

    Enable Gender IdentityWhen selected, users can enter an employee's gender identity in Dayforce. When cleared, gender identity fields are grayed out and unavailable across the application.
  5. Click Save.

Add Assigned Sex Options

To add assigned sex options:

  1. Go to HR Admin > Employee Gender Admin > Gender.
  2. Expand the country that you want to configure.
  3. In the Assigned Sex section, in any row, click the actions icon and select Add:
  4. Actions icon with red highlighting around it in the Assigned Sex section.
  5. Complete the fields:
    • Name: Enter a name for the assigned sex. For example, Non-Binary.
    • Reference Code: Enter a reference code for the assigned sex. For example, NB. This code must be unique and is only used by Dayforce. For example, if you were adding a reference code for Australia for the non-binary assigned sex, you might use "AusNB". Then, if you add a non-binary assigned sex for another country, you could use "NB" modified by a short form of that country's name (for example, NZLNB).
    • Compliance Code: Select the legal compliance code for the assigned sex. For example, X. This code doesn't need to be unique and is used by Dayforce for external reporting. For more information about compliance codes, see Enhanced Employee Gender Overview.
  6. Click Save.

Add Gender Identity Options

  1. Go to HR Admin > Employee Gender Admin > Gender.
  2. Expand the country you want to configure.
  3. In the Gender Identity section, in any row, click the actions icon and select Add.
  4. Add menu option in Gender Identity section.
  5. Complete the fields:
    • Name: Enter a name for the gender identity. For example, Non-Binary.
    • Reference Code: Enter a unique reference code for the gender identity. For example, NB. This code is used only internally by Dayforce.
  6. Click Save.
