Dayforce Wallet, On-Demand Payments, and the Dayforce Wallet Card

This topic describes general information for payroll administrators for using the Payroll feature to administer on-demand payment requests for Dayforce Wallet and disbursements to the Dayforce Wallet Card.

This topic also describes using the Dayforce Wallet Card as a method for US employees for onsite disbursements, which aren’t on-demand payments. This method isn’t available for Canadian and UK employees.

Overview of the Dayforce Card

There are two basic kinds of Dayforce Wallet Card: the personalized card assigned to an employee by a bank, or an instant-issue card, which can be issued by either a payroll administrator in the Checks tab in Payroll > Pay Run Management or Payroll > Data Entry or by an HR administrator in the People feature in the Payroll > Direct Deposit screen. Instant issue cards are available for US employees only.

Important: An instant-issue card can only be assigned by an administrator if the employee has no Dayforce Wallet Card of any kind (neither personalized nor instant-issue).

The Dayforce Wallet Card can be used in the following:

  • As the method for disbursing on-demand payment requests made by employees using Dayforce Wallet, as described in the section beginning with Dayforce Wallet and the Dayforce Card.
  • As a method for disbursing non-on-demand payments to employees, depending on the type of payments to be made:
    • For both regular and onsite payments using a Dayforce Wallet Card as a direct deposit method, if the employee already has a card, as described in the section beginning with Use of the Dayforce Card for Direct Deposit.
    • (US only) For onsite payments made to a Dayforce Wallet Card, if the employee does not have either a personalized card or an instant issue card. This is similar to issuing an onsite check to disburse funds, but using the Dayforce Wallet Card instead of a check, described in the section beginning with Use of the Dayforce Card as an Instant-Issue Payroll Card.

Dayforce Wallet and the Dayforce Card

You can configure the Payroll module so that employees can use the Dayforce Wallet mobile app to request immediate access to wages that they have earned to load the Dayforce Prepaid Mastercard® (hereafter, the Dayforce Wallet Card) with those funds. When employees use the Dayforce Wallet, pay periods in Payroll automatically account for any on-demand payments that took place during the pay period.

The Dayforce Wallet Card is the exclusive method for disbursing on-demand pay to employees for either hourly or salaried (auto-pay) pay types. Your organization must be set up to use Dayforce Wallet before employees can make on-demand pay requests.

Use of the Dayforce Card for Direct Deposit

You can submit the Direct Deposit form to set an employee to get all or part of their regular pay check deposited to their Dayforce Wallet Card. If your organization does not use on-demand pay, you can still enable employees to receive their scheduled pay to a Dayforce Wallet Card as an alternative to checks.

Important: To use this functionality, employees must first complete Dayforce Wallet registration.

After employees have completed registration, the Dayforce Card option is available in the Account Type drop-down list of records in the Direct Deposit form.

  • Canadian Employees: When Canadian employees select this option, they must enter all information manually.
  • UK Employees: When UK employees select this option, the Sort Code and Account Number fields for their Dayforce Wallet Card are automatically populated. In the form, you can set the deposit type and priority of the account as you would for other types of accounts.
  • US Employees: When US employees select this option, the Routing Number and Account Number fields for their Dayforce Wallet Card are automatically populated. In the form, you can set the deposit type and priority of the account as you would for other types of accounts.

Use of the Dayforce Card as an Instant-Issue Payroll Card

There are two ways that employees can be issued a Dayforce Wallet Card as an instant-issue payroll card:

  • By a payroll administrator in Payroll > Data Entry or in Payroll > Pay Run Management to disburse funds on the Dayforce Wallet Card as an onsite check.
  • By an HR administrator in the People feature, in the Payroll > Direct Deposit screen to issue the Dayforce Wallet Card without disbursing funds.

In some cases, payroll administrators might want use a Dayforce Wallet Card as an instant issue payroll card to disburse onsite payments to a US employee. This functionality isn’t currently available for Canadian and UK employees.

For example, a payroll administrator might use the instant issue card to disburse final payment to an employee who leaves before the end of a pay period, providing a flexible alternative to issuing an onsite check or having the employee wait for their final check to be mailed. These aren’t considered on-demand payments.

To use the Dayforce Wallet Card as an instant-issue payroll card, the payroll administrator can create an onsite check entry in Payroll > Pay Run Management or Payroll > Data Entry. The payroll administrator can then select Dayforce Card in the Disbursement Type drop-down list, which loads a new Issue Dayforce Card sub-tab to the right of the Check Entry sub-tab. This sub-tab allows you to enter the card's account activation code.

Important: Before you can instant-issue a Dayforce Wallet Card to US employees, you must have some cards on hand. You can order a supply of the Dayforce Wallet Card in the Wallet tab on the Dayforce Support Portal. Note that HR administrators also have the ability to issue a Dayforce Wallet Card to a US employee to be used as a direct deposit option for regular payments (that is, not for Dayforce Wallet on-demand payments).

On-Demand Pay Requests

Payroll administrators can track the status of on-demand requests in Payroll > Pay Run Management in the On-Demand tab and view on-demand pay disbursements in the On-Demand Summary tab in Payroll > Pay Run Management. Payroll administrators can also see totals for direct deposits in Payroll > Pay Run Management in the Preview sub-tab by clicking the Summary, Employee, and Payments sub-tabs for related information in each.

On-Demand Pay Factor Calculations

Dayforce uses several factors in the calculation to determine available funds when employees make on-demand pay requests.

Important: Currently, including deferred compensation flat dollar amounts in the on-demand pay check results isn’t supported.

Factors used in on-demand pay calculations
Factor Description
Available funds across pay periods It is possible for available funds to be the sum of more than one open pay period. See Available Funds Across Pay Periods.
Deductions and garnishments When calculating available funds, Dayforce considers pre-tax deductions, post-tax deductions, and garnishments (garnishments are included in the post-tax deductions total). For fixed amounts, employees must be able to cover the full amount at any given day of the pay period to have any available funds. For percentages, employees must be able to cover the full percentage at any given day to have available funds.
Legal entitles Available funds can only come from the employee's primary legal entity work assignments. If an employee has earnings from a secondary legal entity, they aren’t included.
Normal pay runs and payments Available funds can only include wages from normal pay runs and payments that are associated with the system Normal check template. Payments in off-cycle pay runs or associated with a custom check template aren’t included in available funds.
Quick entries Earning entries that you add in the Quick Entry tab in Payroll in either Pay Run Management or Data Entry immediately impact the available balance of on-demand pay, regardless of the date that you add them. The date in the Business Date column for a quick entry does not impact available funds.

Negative payroll entries for taxes or deductions in Payroll do not increase available funds for on-demand requests. This prevents access to amounts that might not apply or have been approved yet. For example, if an administrator creates a quick entry for a negative amount of $100 for a tax on an employee's pay check, thereby increasing their earnings, that $100 does not change the employee's available funds for on-demand pay requests.
Retroactive pay An employee's retroactive pay isn’t available for on-demand requests when any of the following conditions occur:
  • The employee is included in an uncommitted WFM offcycle run.
  • The employee has been issued a pay out check from an uncommitted regular pay run.
Time Worked Time worked is determined differently for hourly and salaried (auto-pay) employees. For hourly employees, time worked is based on the shifts that were completed and available as time data in Payroll. You can view an employee's time data in the Time Data tab of the Employee Preview slide-out panel in Payroll > Pay Run Management and Payroll > Data Entry.

For salaried employees, time worked is based on business days worked. You can configure the time at which today’s business date is considered worked (for example, 5:00 PM) for on-demand pay purposes. Otherwise, the application always counts the previous day as the last day worked.
