Manage Delegation Access

If enabled for your role, you can delegate other users who can access your account on your behalf. You can also control what information they can see.

Delegation might become necessary, for example, when an employee requests an extended leave of absence. A user with access to the employee's account can log in and authorize timesheet entries to help ensure that the employee is paid for their time worked before their absence. A user account can be delegated to an HR professional, manager, or an authorized employee.

Important: For security reasons, access should be delegated from managers to other managers rather than from managers to employees.

The following points apply to a delegation:

  • Managers can cancel a delegation.
  • Managers can edit an existing delegation and change any of the values.
  • It’s possible to have more than one delegate active for the same period. For example, delegate #1 has access to pay information, while delegate #2 has access to documents.
  • A user can be a delegate for multiple employees at the same time.

Add, Edit, or Delete Delegates

To add a delegate:

  1. In My Profile, tap Delegation Access.
  2. Tap the Add button.
  3. Tap the Employee field to select an employee that you want to give delegation access to.
  4. Tap the Reason field to specify a reason from the list of reasons.
  5. Specify the dates for the Effective From and Effective To fields.
  6. Toggle the switches on or off for the following fields in the Private Information Access section:
    • Restrict Pay Information: Prevents the delegate from having access to the user's pay information.
    • Restrict Compensation Feature Access: Prevents the delegate from having access to the user's Compensation module in the main application.
    • Restrict Performance Management Information: Prevents the delegate from having access to the user's Performance feature in the main application and the My Goals feature in the mobile apps.
    • Restrict PII Documents: Prevents the delegate from having access to the user's private documents that contain personally identifiable information such as their Social Security number or birth date.
  7. Note: If you toggle the switches on, when the delegated user logs in using the delegated role they can't see the restricted features in the main application or in the mobile app.
  8. Tap Save.

To edit a delegate:

  1. In My Profile, tap Delegation Access.
  2. In the Delegation Access screen, tap the delegate that you want to edit.
  3. In the Edit Delegate screen make your edits.
  4. Tap Save.

To delete a delegate:

  1. In My Profile, tap the Delegation Access button.
  2. In the Delegation Access screen, tap the delete icon beside the delegate that you want to delete.
  3. Tap OK.
