Manually Add Payroll Elections
To add a manual payroll election:
- Go to Payroll Import > Payroll Elections and click Add. Dayforce adds a row to the list with the Pending status and expands the entry to display the General section.
- In the General section, take the following steps:
- In the Employee drop-down list, select an employee.
- (Optional) In the Business Owner drop-down list, select a business owner.
- In the Effective Start field, enter or select the start date for the payroll election.
- Optionally, in the Effective End field, enter or select the end date for the payroll election, if applicable.
- In the Type drop-down select Earning or Deduction:
- Select Earning, and complete the following fields as necessary:
- Code
- Schedule
- Block
- Work Assignments
- Legal Entity
- Select Deduction, and complete the following fields as necessary:
- Schedule
- Block
- Select Earning, and complete the following fields as necessary:
- In the Parameters section, configure any necessary parameters associated with the election.
- In the Payee section, if it is displayed, configure the payee settings as applicable.
- Click Save.
Payroll elections that are added manually in the Payroll Elections tab are displayed in the Import Set column in the Overview tab as Manual Entry - yyyy-mm-dd
.
Edit Payroll Elections
You can edit some of the fields for payroll elections, while several other fields in the payroll election entry are read-only.
To edit a payroll election entry, select the checkbox at the far left of the entry in the list of entries to select the record in the list. You can then edit any available fields as necessary.
If you edit any approved or rejected records, Dayforce automatically updates the status of the edited record to Pending.
Delete Payroll Elections
You can delete payroll elections entries that have the statuses Pending, Rejected, and Expired payroll elections that were imported or created manually in Dayforce. Select one or more payroll election entries using the checkboxes and click Delete. Dayforce crosses out the payroll election entry in the list, indicating that it is no longer selectable.
Approve or Reject Valid Payroll Elections
You can approve or reject any pending payroll elections by selecting them in the list and clicking either Approve or Reject in the toolstrip.
Important: Users who import or payroll elections entries cannot approve or reject any entries that they imported or created.
Before you can approve or reject payroll elections entries, you must ensure that your payroll elections entries have been validated by Dayforce. Valid payroll elections entries are marked with the valid icon () in the first column of the row, while invalid payroll elections entries are marked with the invalid icon ().
You can approve payroll elections entries using one of the two following methods:
- To approve specific payroll elections, select individual entries in the list, then click Approve > Approve Selected.
- To approve all filtered records, click Approve > Approve All Filtered.
Dayforce marks the records with the Approved status and icon ().
You can reject payroll elections entries using one of the two following methods:
- To reject specific payroll elections, select individual entries in the list, then click Reject > Reject Selected.
- To reject all filtered records, click Reject > Reject All Filtered.
Dayforce marks the records with the Rejected status and icon ().
Export Payroll Elections
To export the list of displayed payroll elections entries, click Export. Dayforce generates a .csv
file of the listed payroll elections.
View Payroll Elections Problems
You can view validation issues by clicking Problems in the toolstrip. The Problems panel opens to display a description for each message type (Errors, Warnings, and Information). You can filter the problems by selecting one of the following severity levels on the left side of the panel:
- Error ()
- Warning ()
- Informational ()
You can also export a CSV file of the errors listed in the Problems panel by clicking the drop-down arrow and clicking Export.
Publish Payroll Elections
Important: Dayforce publishes all of your approved payroll elections entries, regardless of whether they are selected in the list when you click Publish. Approved and published payroll elections entries can’t be edited or deleted.
After payroll elections have been approved, they can be published, at which point the payroll elections updates are processed and displayed in other areas of Dayforce. You can select some of the elections to publish, or you can filter the list as needed.
Before You Begin: You must approve payroll elections entries before they can be published.
To publish approved payroll elections:
- Go to Payroll Import > Payroll Elections.
- Filter the list of elections and, if desired, select the elections to publish.
- Click Publish and select Publish Selected or Publish All Filtered.
- In the confirmation dialog box, click OK to continue or click Cancel to make other changes.
Dayforce grays out entries that were successfully published and marks them with a blue checkmark () in the Published column.
If some, or none, of the records were successfully published, Dayforce displays a message indicating the number of records that were successfully published.
