Synchronize Employee Details to Compensation Worksheets

You can synchronize updated employee HR details to compensation worksheets when changes are made after a compensation cycle is published. This feature helps ensure that worksheets reflect the most current employee information before final submission.

In Compensation Administration > Compensation Cycle Administration, when you open a compensation cycle, a banner shows if employee updates are available. Click Sync Employee Data to filter employees, review changes, and approve or discard changes before applying them to worksheets.

Access and configuration:  

  • Role feature access: Compensation Administration > Compensation Cycle Administration > Sync Employee Data
  • Client properties: General section > Sync Compensation Employee Data (Select the checkbox)

When you approve changes:

  • Employee details are updated in the worksheet.
  • Worksheet budgets are recalculated.
  • Any existing allocations for the employee are cleared.
  • Imported funding percentages revert to:
    • The worksheet budget percentage, or
    • The employee guideline percentage (if the budget is based on guidelines).
  • Imported bonus eligible salary values are retained.

When you discard changes:

  • The updates aren’t applied to the worksheet.

After you approve or discard changes, they no longer show in the Sync Employee Data Changes dialog box.

Important: You can’t revert changes after you approve or discard them.

Additional details:

  • Synchronization isn’t available for worksheets that have already been submitted.
  • You can’t synchronize employee data for a compensation cycle that’s already approved.
  • The Sync Employee Data Changes dialog box doesn’t show all of the updated employee fields.
  • The following employee fields can be synchronized:
    • Employee Display Name
    • Most Recent Hire Date
    • Employment Status
    • Normal Weekly Hours
    • Pay Class
    • Pay Group
    • Pay Type
    • Base Salary
    • Base Rate
    • Work Assignment (Primary) Department Job ID (Job assignment)
    • Employment Status Effective Start
    • Employment Status Effective End
    • Work Assignment (Primary) Effective Start
    • Work Assignment (Primary) Effective End
    • Target Bonus Override

To synchronize employee details to worksheets:

  1. Go to Compensation Administration > Compensation Cycle Administration.
  2. Open the relevant compensation cycle. If employee updates are available, a banner shows.
  3. In the My Organization tab’s toolstrip, click Sync Employee Data.
  4. In the Sync Employee Data Changes dialog box, click Filter to filter employees with updated details.
  5. Click the expand arrow next to the employee’s name to view the updated details.
  6. Select one or more employees, then click Approve or Discard, as needed.
