Schedule Your Staff in Centralized Schedules

In Centralized Schedules, you can create predefined shifts with specific details by expanding the grouping hierarchy and adding a shift at the appropriate grouping level. You can add shifts only to the lowest grouping level in the template’s hierarchy. For example, if the template has filters for location, department, and job (in that order), you can assign shifts only at the job level in the hierarchy:

Adding a shift in the expanded hierarchy.

By adding a shift directly to the grouping hierarchy, you can filter out candidates to show only employees who meet certain criteria. Using the example above: the template contains groupings for location (Store 320), department (Stocking), and job (Stocker). When you add a shift at the job level and attempt to assign it to an employee, Dayforce shows only employees who work at Store 320 in the Stocking department and who are assigned the Stocker job.

When you select a cell and click the add icon, the Add Schedule dialog box opens. Dayforce shows eligible employees in the Employee drop-down list based on your template’s grouping hierarchy. You can also add unfilled shifts at the lowest level of your template hierarchy and assign eligible employees to the shift at a later time.

When you create shifts, you can add segments if necessary. A segment represents a portion of the shift where the shift details change. For example, if an employee transfers between work assignments or is assigned to a different project or location for a portion of their shift, each change is represented by its own segment. In Centralized Schedules, Dayforce shows each segment dynamically under your template groupings. If an employee is scheduled for a single shift containing two segments, Dayforce shows each shown accurately under the appropriate grouping. In the following screenshot, Cleo Adams is scheduled for a shift that contains two segments for different work assignments: the Produce Clerk job from 9:00 AM to 2:00 PM and the Cashier job from 2:00 PM to 5:00 PM:

Alternatively, you can view all employees at each location contained in your grouping hierarchy and assign them shifts without predetermined shift details. To do this, expand the Employee section in the hierarchy and create shifts for the appropriate employees. You can press and hold the Ctrl key to add shifts for multiple employees at once.

When you work in Centralized Schedules, it's a good idea to save your work periodically. Saved schedules are still work-in-progress schedules, and they aren't visible to employees.

After you finish scheduling employees, you can make the schedule available to them by posting it. To post your schedule, click Post in the toolstrip.

Role feature access:  Schedules > Post Schedules

When you post a schedule, a checkmark appears next to the location's name:
