Use the Employee Personal Data wizard to upload personal employee data. Examples of employee personal data include: Birth State, Birth Country, SIN Expiry date, Seniority Date, First Day worked Gender Identity, Ethnicity, Marital Status, Disabled, Veteran Status, and Language. The wizard runs validations to make sure that the data is correct.
Important notes
- You can run this data load more than one time.
- See your Implementation Consultant for the accepted values for your configuration.
- Activate uses HR Version 2.0 (NextGen) when loading data during configuration.
If you have an existing pay group for Australia and employees located in Australia who don’t have a record for their Tax File Number (TFN), you can use this wizard to load Tax File Numbers for those employees. Activate verifies that the TFNs are exactly 9 characters in length and meet the requirements of the Australian Taxation Office.
The following TFN codes are for employees in specific circumstances.

Note: The special TFN codes in the table above can apply to multiple employees. When the National ID field is populated in the Employee Personal Data template with one of these special codes for an Australian employee, Activate bypasses the validation to check if the National ID matches that of another employee in Dayforce. The validation to check if the National ID value exists against multiple employees in the current Personal Data template does remain in place because the HR Import doesn’t currently support this scenario.
Before you begin
Employees being provided in the Employee Personal Data template must exist in Dayforce.
Using this wizard
The previously loaded employee personal information shows in an editable grid with the compensation-related fields that need to be populated. You can enter information directly in the grid or you can download the Employee Personal template, populate it, and then upload the data. When you edit the data in the grid, Activate shows any applicable validation warnings or errors. If warnings or errors are shown, you must review and correct them by updating the data in the grid or uploading a corrected template.
Messages: Error, Warning, and Information
Activate sorts each generated message by severity:
Actively incompatible with the data in Dayforce. If you have a data error, you must resolve the error before you can complete the installation.
Indicate nonstandard setup that could potentially cause an error in Dayforce. For example, if an earning code is defined as Hours x Rate and the data is amount only, the system creates a warning. However, you can still import the data into the system.
A notable occurrence of data in the system. For example, an informational note shows if codes are dropped from the YTD import.
Tasks
- In Activate Central, click Load Your Data and the Load Your Data wizards are shown.
- Click one of the following:
- Employee HR Data Hub and then click Employee Personal Data.
- Employee Personal Data.
- On the Employee Personal Data page, click Download.
Note: You can also download an empty Employee Personal Data template from the Download Template Files page.
- Select the location where you want to save the template document.
The file names of templates that you download from Activate begin with a prefix that is the Namespace that you’re logged in to. The same is true for the file names of ZIP files when you download multiple templates at the same time.
- Open the
PersonalDataTemplate.xlsxtemplate on your computer. - On the Employee Personal tab, complete all columns with the data for all employees in the organization.
Important: The Birth Date and National ID/Social Security number are required
Note: The Activate release version shows in cell B3 on the Instructions tab of the template. This information helps you later determine the version of Activate you were using when you downloaded the template.
Note: Instructions for populating the fields are in the Employee Personal Data Template Fields section (below) and on the Instructions tab of the template.
- Click Save and close the template.
You can use any file name for the template you upload. The file must be an Excel or CSV (Comma-Separated Value) document and contain the data in the required format.
Important: Don’t change the name of the tab because Activate uses it to validate that the correct template is being uploaded.
- On the Employee Personal Data page, click Upload.
- Go to your completed Employee Personal Data template in the location where you saved it.
- Click Open. The Employee Personal Data wizard validates the uploaded file.
Note: If you load a Personal Data record for an employee with no address, Activate determines which field to import the National ID value based on the employee's pay group country. Them. it shows a warning that the Employee {identifier} has no address in Dayforce. Country-specific values such as National ID might not be loaded correctly.
Note: If the uploaded file has errors, a Validation Failed message shows in red at the bottom of the page. You must correct the errors in the file on your computer and upload the file again.
Note: When you upload an Excel file, Activate includes the name of the uploaded file into the name of the XML file it generates and loads to the Dayforce File Server. The format of the generated XML file name is <NamespaceName>_<Import Type>_<file name provided>_YYY-MM-DD_HHMM. This information makes it easier to audit files later.
- If the uploaded file has errors, a Validation Failed message shows in red on the page. You must correct the errors in the file on your computer and upload the file again.
- Click Next.
- On the Options page, select one of the following to indicate whether you want to reset passwords for employees through this data load:
- Yes, reset the passwords: Each employee's password is reset. Passwords are reset using the employee's current password policy and the personal data loaded.
Note: Resetting the passwords with this wizard confirms that the fields required by each password policy are: already available in Dayforce or included in the data provided in this wizard. Upon completion of the wizard, Activate applies the most up-to-date password policy to all employees.
Important: This consideration is important for Go Live. Reset the password if the password policy has changed OR you’re using this wizard to finalize the employee's personal data. Previously generated passwords might not conform to the current password policy until a password reset is run.
- No, do not reset the passwords: No passwords are changed.
- Yes, reset the passwords: Each employee's password is reset. Passwords are reset using the employee's current password policy and the personal data loaded.
- Click Done. The Employee Personal Review page opens.
- Review the information shown in the grid.
- To make updates to data on the page:
To insert a new row in the grid, click the row where you want to insert it and click New.
To delete a row, click the row and click Delete.
- To download the error message list and save it to your computer, click Download Errors File.
- To correct errors in the grid, click in the field containing the error. Click Tab to move to the right and Shift+Tab to move to the left in the row. Use the scrollbars on the right side and bottom of the grid to go to other areas of the grid.
To save information in the grid to your computer, click Download File and save it to the location you want.
To upload the file from your computer, locate the file and click Upload File. The data in the file shows in the grid.
To remove changes that you don’t want to save, click Refresh.
- When the data is complete, click Done & Install. When you leave the page, the selected values stay in the grid.
When the personal information is complete in Activate, you must install the data in Dayforce.
- After making any necessary corrections on the Employee Personal Review page, click Load.
The Load page opens with a list of the steps to complete and an estimate of how long the installation usually takes. During the installation, the current step in the process is bolded so you can monitor the progress.

- Add Email and enter your email address to be notified when the installation process ends instead of waiting for it to finish.
- Next when the installation is complete.
Activate Central opens with the wizard name now in green text and a green checkmark next to it. The day, date, and time of completion show, along with your name as the user who completed the wizard. The environment in which the installation was applied (Stage, Config, or Train) also shows.

Results
The employee personal data has been uploaded to Dayforce. To see the information inDayforce, go to People > Personal > Confidential Information.
For Canada and the United States, when the Personal Data template includes values in the Assigned Sex and/or the Gender Identity fields, Activate creates a federal employee gender record. If the fields contain non-binary values, a warning shows and no federal employee gender record is created.
Note: To comply with regional tax regulations, the TaxPayerID is generated only for employees with an Employment Type of Contractor who are based in the United States.
The data uploaded from the Employee Personal Data template populates the fields on the following pages inDayforce.

Employee Personal Data template fields
All templates have the same basic structure:
- Instructions tab: Helps you understand the purpose of the data and complete the fields in the template.
- Data tab: Contains headers for the data to be included in the template. The headers remain the same, but you can change the column order. If you add more columns, Activate ignores them.
All number ranges in the templates include the numbers at both ends of the range.
