The Employee HR Data Hub wizard simplifies the HR data upload process by combining several employee data load wizards into a single, intuitive interface. You can use this wizard to download and upload employee HR data template files in a ZIP file. Alternatively, you can select specific data files to download and upload. This flexibility reduces manual effort and makes sure that you have all of the data templates that you need.
The wizard supports global implementations. It provides a versatile, user-friendly, and efficient HR data management experience that includes simplified processes, accurate data, and increased productivity.
You can use the Employee HR Data Hub wizard in place of the following employee data-related wizards:
- Employees
- Employee Compensation History
- Employee Job History & Secondary Work Assignment
- Employee Personal Data
- Employee Confidential Identification
- Employee Work Contract & Work Pattern
- Employee Addresses
- Employee Contact Information
- Employee Emergency Contacts
- Employee Management Structure
- Employee Balances
Before you begin
Before you use this wizard to load data, verify the following information.
Confirm that the necessary configurations are in Dayforce for:
- Pay Groups
- Site Addresses
- Work Contracts
- Reason Codes
- Identification Types
Make sure that the following configurations have unique and defined XRefCodes:
- Jobs, Departments, Zones, and Org Units
- Policies and Groups (including Pay Policies, Time Entry Policies, Time Off Policies, Payroll Policies, Holiday Groups, Pay Groups, Roles, and so on.)
- Other HR Configurations (such as Pay Classes, Pay Types, Employment Statuses, and so on.)
Messages: Error, Warning, and Information
Activate sorts each generated message by severity:
Actively incompatible with the data in Dayforce. If you have a data error, you must resolve the error before you can complete the installation.
Indicate nonstandard setup that could potentially cause an error in Dayforce. For example, if an earning code is defined as Hours x Rate and the data is amount only, the system creates a warning. However, you can still import the data into the system.
A notable occurrence of data in the system. For example, an informational note shows if codes are dropped from the YTD import.
Tasks
- In Activate Central, select Load Your Data. The Load Your Data wizards show.
- Click Employee HR Data Hub and the Intro page opens.
- Review all of the information on the page.
In the bottom-right part of the page are links that you can click to access different topics in the Activate Help.

Select the checkboxes next to the following to confirm that you have all of the necessary configurations in Dayforce:
- Pay Groups
- Site Addresses
- Work Contracts
- Reason Codes
- Identification Types

Click the checkboxes next to the following to confirm the following configurations have unique and defined XRefCodes:
- Jobs, Departments, Zones, and Drug Units
- Policies and Groups (including Pay Policies, Time Entry Policies, Time Off Policies, Payroll Policies, Holiday Groups, Pay Groups, and Roles)
- Other HR Configurations (such as Pay Classes, Pay Types, and Employment Statuses)
- Click Next and the Options page opens.
When the page first opens, all sections are expanded. If you exclude any sections, those sections are collapsed and only the module name remains visible. To expand a collapsed section, click the arrow in the top-left corner of the collapsed section or click the section name. If you expand an excluded section, the status of the section remains unchanged.

On the Options page, manage the Additional Employees data load:
- In the top-right corner of the Additional Employees section, toggle the button to Include or Exclude to control whether to include the Additional Employees data in the data load:

If they don’t exist, Jobs, Departments, Orgs, and various Policies are created based on the information provided. You’ll also have an opportunity to import new Site Addresses and Legal Entities if new instances are required for these employees.
No Activate doesn’t create missing configuration based on the information provided. It validates your data at upload and shows an error if your data refers to any missing configuration information.
Will you need to load historical compensation and/or historical work assignment data for this project? Yes
Activate sets the Status Start Date and Job Start Date fields in the data template to mandatory.
No Activate loads all status and work assignment records with a start date that matches the employee’s Original Hire Date. If terminated employees are included in the file, they’re loaded with an Active status record that starts from their Original Hire Date and ends on their Termination Date. If any dates are entered in the Status Start Date or Job Start Date fields, a warning indicates that these values will be ignored and the Original Hire Date are used to date all records effectively.

Click Next and the HR Datasets page opens.
Note: You can use this wizard to download the template documents or you can download them from the Download Template Files page, under Employee HR Data Hub. If you download them from the Download Template Files page, you must then use this wizard to upload them.
- On the HR Datasets page in the Download Activate Data Templates section, complete the download by doing one of the following:
Options for downloading template files To download... Click... An individual template document The Select files... drop-down list and select the template file to download, and then click Download Selected. Multiple template documents The Select files... drop-down list, select the template files to download, and then click Download Selected. The selected files are downloaded in a single ZIP file. The complete set of template documents Download ALL Templates (ZIP) to download all of the template documents in a single ZIP file. Note: For wizards with multiple template documents, the data file available for download is the appropriate template based on the options that you set. The following wizards have multiple template documents: Employees, Employee Job History & Secondary Work Assignment, and Employee Management Structure.
- Save the template documents to your computer.
- Open each template document and review the Instructions tab to understand the required fields.
- Add the required information to the template documents.
- Save and close the updated documents.
- On the HR Datasets page in the Upload Files to Activate section, click Upload Files.
- Select the template files to upload.
You can upload the files in several different ways:
- Individually.
- Use the Shift key to select multiple files to upload.
- Combine the files in a ZIP file that you upload in a single action.
You can upload files in the following formats: CSV, Excel, and ZIP.

Click Open and the upload begins.
Note: If there update doesn’t have any problems, a red error message shows across the bottom of the page. Click View All Errors to download a report that lists the errors and their severity.
The Dashboard in the bottom portion of the HR Datasets page shows the status of the uploaded data files. You can use it for data management, tracking, and reporting.
- Review the data load statuses and take the appropriate actions.
Note: If there was a previous data load, the Additional Information column shows the date and time that the file was last uploaded and the name of the user who loaded the file. You can click Download Previously Loaded Files to save a copy of any previously loaded Activate template files to your computer.
Data load statuses
Status... Description Available Actions Not Loaded This data hasn’t been previously loaded into Activate.
You can click any of the following:
- Load to load the file.
If the data load contains records with any warning messages, an informational message shows. Click one of the following:
- Cancel to go back to the Central page and review the data.
- Proceed to go to the Installation page.
- Upload Files in the Upload Files section to Dayforce section to load multiple files or a ZIP file.
Skipped This data was skipped because Exclude was clicked on the Options page.
If this data is needed, you must configure the options to enable Activate to identify the appropriate files and establish the correct workflow.
Click Revise Option to return to the Options page so you can toggle to Include to include the data in the data load. Error A data error occurred during the validation process when the data was loading.
The files contain critical errors that require your attention.
Click Review to download a report that details the affected files and errors. Resolve the issues and then upload the files again.
In Progress This data load involved multiple steps to complete.
The initial data was successfully validated and you can continue to the next step in the process.
Click Next Step to go to the appropriate next page in the workflow.
Ready to Load This data is free of any critical errors and is now ready to be loaded.
You can do the following:
- Click Review Here! to go to the Datasets Review page to review the data after it passes the validations. You can inspect any warnings for data integrity before you commit the data load.
- Toggle to Include or Exclude to control whether the data is included in the bulk installation.
Loading The data load has started and no actions can be made during the installation process.
No actions are available while the file is loading. Wait until the process is complete.
Loaded This data has been successfully loaded into Dayforce.
Click Add more to load additional data, if needed.
Note: You can click the Filter by status drop-down list and select specific statuses to show. After you make your selections, click Apply. To clear the filtered statuses, click Reset.
- Load to load the file.

Click Next and the Datasets Review page opens.

On the Datasets Review page, review the information in the grid.

To make updates to data on the page:
-
To save your changes, click Save.
-
To delete a row, click the row and click Delete.
-
To save information in the grid to your computer, click Download File and save it to the location you want.

To upload the file from your computer, locate the file and click Upload File. The data in the file shows in the grid.
-
To remove changes that you don’t want to save, click Refresh.
-
To download the error message list and save it to your computer, click Download Errors File.
-
When the data is complete, click Next and the Review & Load page opens.
When you leave the Datasets Review page, the selected values stay in the grid.
- At the top of the Dashboard, click Installation History & Details and a page containing a comprehensive history of all employee HR data installations opens.
The page contains a table with the following columns:
Data Module: The name of the module that was used.
User Name: The user who did the installation.
Installation Timestamp: The date and time of the installation.
Activate Version: The version of Activate when the data was installed.
By default, the data is sorted with the most recent installation at the top of the list.
To download the information on the page in Excel format, click Download.

Click Back to return to the central Dashboard.
When the information is complete in Activate, you must load the data into Dayforce.

On the Datasets Review page, review the summary information.

Do one of the following:

If the information is correct, select the checkboxes in the Confirm column.

Click Back to make changes to the data.
Click Print to print a copy of the summary information shown on the page.

After making any necessary corrections, on the Datasets Review page, click Load Selected Files.
The Loading your data... page opens with a list of the data to load and an estimate of how long the installation usually takes. During the installation, the current data load shows in bold text so you can monitor the progress. The data load statuses include: Loaded, Error, Loading, and Not Started.

Click one of the following:
- Add Email and enter your email address to receive an email when the installation process ends, instead of waiting for it to finish.
- Next when the installation is complete.
Activate generates an XML import file for each data load based on the Dayforce data structure. The installation process then sequentially processes each file, reading, validating, and importing the data into the appropriate database or structure in Dayforce. This action ensures that each data load is handled one at a time, maintaining data integrity and preventing conflicts. If one or more data files fail to load, users are informed of the outcome and can access the error details in Troubleshooting Resources. After all data files are processed and verified, the installation completes.

Activate Central opens with the wizard name now in green text and a green checkmark next to it. The day, date, and time of completion show, along with your name as the user who completed the wizard. The environment in which the installation was applied (Stage, Config, or Train) also shows.

Results
After successful installation, you can see the data in Dayforce on the relevant page in the employee HR record.
