Added the ability to send a bulk letter to multiple employees simultaneously. This functionality helps streamline your letter management process and ensures that employees receive timely updates from your organization. You can't send bulk letters to employees who were terminated.

Letter Management includes the following changes to support this enhancement:

  • In Letter Management > Template Designer, the left sidebar of the Templates tab includes a new Bulk Letters selection. When you click the Add button, Bulk Letters is available as a selection in the Template Category drop-down list. Employee tokens are available to use in a Bulk Letters template, but editable tokens are not supported.
  • Letter Management > Distribution now includes a Send bulk letters button.

  • Role feature access: Letter Management > Distribution > Send bulk letters

  • When you click Send bulk letters, the Send a Letter wizard launches, where you can select a bulk letter template and choose multiple employees to receive the letter. If you click To, you can use advanced filtering to find and select employees for the recipient list. The final step allows you to preview the read-only letter for individual recipients, save their letter as a draft to send later, or remove the employee from the recipient list.

Added the following non-editable employee status and work assignment tokens that you can use with Other Letter templates in Letter Management > Template Designer:

Token Name Description
Employee: Employment Status Effective From Date Returns the value from the Effective From field in the employee's employment status record as of the effective date defined for the letter.
Employee: Employment Status Effective To Date Returns the value from the Effective To field in the employee's employment status record as of the effective date defined for the letter.
Employee: Primary Work Assignment Effective From Date Returns the value from the Effective From field in the employee's primary work assignment as of the effective date defined for the letter.
Employee: Primary Work Assignment Effective To Date Returns the value from the Effective To field in the employee's primary work assignment as of the effective date defined for the letter.

Tokens might not return end dates if the employee's status or work assignment is open ended. A warning is shown when you submit your letter if Dayforce can't add an end date to the letter.

The dates that appear in the letter are displayed in the preferred format of the logged-in user's culture.
