Employee HR Data Hub

We’re introducing the Employee HR Data Hub wizard, which is a new feature designed to simplify the management of employee HR data. This wizard combines multiple employee data loads into a single, intuitive interface, which enables users to bulk upload, validate, and download data from one screen.

Activate currently has more than 10 separate wizards for loading HR data across Dayforce employee profile, requiring users to load each wizard individually. This new centralized wizard simplifies this process by managing several existing wizards. It includes the following data all on one page: compensation history, job assignments, addresses, personal/confidential information, emergency contacts, work contracts, contact details, management structure, and balance.

This enhancement makes Activate more user-friendly by reducing errors and mistakes in data loads. It also boosts efficiency, saves time, and reduces mistakes. The wizard provides clear status updates and simpler workflows, making Activate easier to use and more productive. Ultimately, this wizard helps us scale our performance when loading many datasets for all of our customers.

Note: The new Employee HR Data Hub wizard is now available under Load Your Data as the first wizard on the list, accessible for standard implementation projects that have been completed Getting Started.

Intro Page

The Intro page serves as a comprehensive guide, offering essential tips and call-outs to make sure that you’re fully prepared before loading your data. It includes a detailed checklist of all prerequisite configurations, along with helpful tips on where to go if you’re not ready.

Instructions Section

The Instructions section introduces the Employee HR Data Hub wizard and highlights key information for your review. Before you begin loading data, make sure that all necessary configurations are in place as outlined in the checklist so you can continue to the next step.

Prerequisite Configuration Section

Here, you'll find a checklist of all of the necessary configurations you need to set up in Dayforce for a smooth data load process. The configurations include setting up pay groups, site addresses, work contracts, reason codes, and identification types. Also, make sure that all configurations have unique and defined XRefCodes for the following: jobs, departments, zones, org units, policies, groups, and other HR configurations.

Resources Section

This section provides direct access to Activate‘s Help topics that are related to the data being loaded in this wizard. Separate hyperlinks are provided for different types of data loads. The data loads include the following: employee compensation history, job history, personal data, work contracts, addresses, contact information, emergency contacts, management structure, and balances. These resources are regularly updated to make sure that you have the most current information. Click any of the links to open the help resource in a new tab for easy access.

Options Page

This page combines all available options for specific data loads. It integrates, refines, and optimizes multipath workflows to provide seamless functionality within this new centralized wizard. By preserving the familiar behavior of our existing wizards, we offer users enhanced flexibility that enables them to select which questions to answer or exclude based on their data load requirements.

Users can toggle the Exclude/Include button to control whether to include specific data loads. If included, all questions related to the module must be answered before proceeding to the next step. Users can also select not to include a module by toggling the Exclude button.

Central Page

This page is divided into several sections and enables you to download data templates related to various data loads. Users can download all available data files in one folder using the Download All Template Files link. They can also upload multiple files simultaneously that are in the following formats: Excel, CSV, or zip files (which can contain either Excel or CSV files). Activate validates these file formats to make sure that they’re correct.

Users can also track the status of data validations and manage their data uploads in this view. This comprehensive central page supports data management, tracking, and reporting. It features essential columns like Data File, Status, Additional Information, and Action. It also makes sure that the employee data is handled accurately and makes efficient workflow management possible.

Download Section

Users can download data templates from the Download Template Files page. You can click the Download All Template Files link at the top of the page under Employee HR Data Hub to download data template files. Users can access a dedicated section for Employee HR Data Hub to download empty templates and any previously loaded templates.

To get started, users should download the Activate data templates. Follow the instructions provided in each template to make sure that the data is accurate. Individual files or multiple files can be downloaded at once. You can also use the Download ALL Templates option to access the complete set of data files.

Three options are available:

  • Individual Files: Users can click Download Selected and select the required file from the drop-down list and start downloading.
  • Multiple Files: Users can select multiple required files from the drop-down list. The download will start after clicking Download Selected, and the selected files will be included in a zip folder.
  • All Files: Users can click Download All Templates (ZIP) to download all of the data files in a .zip folder.

 

For the wizards with more than one template, the data file available for download matches the correct template based on the options set by users.

The data files are:

  • Employees
  • Employee Job History & Secondary Work Assignment
  • Employee Management Structure

Upload Section

Users can upload files in various formats, including Excel, CSV, or .zip. Activate continues to validate the file formats to make sure that they’re correct. If you want to upload .zip files, they can contain either Excel or CSV files, providing flexibility in how you manage your data uploads.

Important: Data Validation - If any validation failures exist in the loaded files, users can download a report that details the affected files and errors. When the files have no critical issues, each data file shows the validation status after a successful load. Users are then presented with actions for the next available step based on each status.

Status Filter Section

The Status filter drop-down list shows all available status values for data loads. Users can select more than one status from the drop-down list, and the filter instantly updates to show only the selected values. To clear specific statuses, users can click the cross icon on the status tile. Or, they can click the Reset button to revert to the default view, which includes all statuses.

Dashboard Section

This section functions as a comprehensive tool for data management, tracking, and reporting. It features the following four essential columns:

  • Data File
  • Status
  • Additional Information
  • Action

This tool makes sure that the employee data is handled accurately, makes access to important information easier, and supports efficient workflow management.

Data File Column

This column lists various types of employee data files, such as Employee Records, Compensation History, and Personal Information.

Additional Information Column

This column stores the Last loaded timestamp for previously loaded files. Users can download a copy of their previously loaded files from this column, with hyperlinks showing for any such files. Also, users can hover over the tooltip icon () to get more information about the current status.

Status and Action Columns

The Status column indicates the current state of each data file, such as Skipped, Pending, Loaded, or Error.

The Action column includes buttons like Edit Options, Upload, Retry, and Skip. These buttons enable users to interact with and manage the data files effectively.

Click either of the following in the Upload Files to Dayforce section to upload multiple files or a zip folder:

  • Load
  • Upload Files
Skipped

This data was skipped on the Options page.

If this data is needed, you must configure the options to enable Activate to identify the appropriate files and establish the correct workflow.

Revise Options Click Revise Options to go to the Options page to revise and set options related to this data load.
Error A data error occurred during the validation process for the provided files. These files contain critical errors that need your attention before we can continue to the next step. Review Click Review to examine the data in question and address any issues before attempting to load the data again.
In Progress This data load involves multiple steps to complete. Your initial data has been successfully validated, and you can now continue to the next step in this process. Next Step Click Next Step to continue to the next step in the process. You’ll go to the next page in the workflow.
Ready to Load Congratulations! Your data is free of any critical errors and is now ready to be loaded.

Include

Exclude

Click one of the following:

  • Include to include the data in the bulk installation.
  • Exclude to exclude the data from the bulk installation.
Loading The data load has started through the individual wizard. No actions can be done in the Employee HR Data Hub during the installation process. Wait until the installation process is complete.
Loaded This data has been previously loaded into Dayforce. Add More Click Add More to load additional data, whenever required.

Data Review Page

For data files identified with invalid data, users can review and correct their data by going directly to the data review page. Here, they can download a copy of the incorrect data to correct and reload it. Or, they can correct the issues directly in the data grid. When the data is corrected, the file status changes from Error to Ready to Load, and the user can include the file in the bulk installation.

 

Data Installation

When the data installation step begins, Activate generates an XML import file for each data load based on the Dayforce data structure. The installation process then sequentially processes each file. It reads, validates, and imports the data into the appropriate database or structure in Dayforce. This action makes sure that each data load is handled one at a time, maintaining data integrity and preventing conflicts. If one or more data files fail to load, users are notified of the outcome and can access the error details in the Troubleshooting Resources. After all data files are processed and verified, the installation completes.
