As an extension to the newly introduced Employee Schedule Data, we’re excited to offer the Employee Time Entry wizard. This wizard simplifies the process of loading employee time entries into Dayforce. With this wizard, users can efficiently add employee timesheets, including detailed records with pay codes and project information. It also incorporates a robust validation engine to prevent most reported data errors.
By automating this task, the wizard significantly reduces the time and resources needed for manual uploads that are usually required during the parallel phase of the project. The wizard is available to all projects that have completed the Getting Started phase and you can access them under Load Your Data, directly below the Employee Schedule Data wizard.
Users can download a data template that includes comprehensive instructions. This template gathers essential and additional fields needed by Dayforce for Employee Schedule data. You can access the new data template through the wizard or the Download All Templates page located in the top-right corner of the Profile menu.
After you load the data, it’s instantly accessible in an editable grid in Activate. You can make direct edits in the grid or download the data template, apply the required modifications, and upload the updated data.
When you edit the data in the grid, Activate instantly shows any pertinent validation warnings or errors. If any warnings or errors show, it’s crucial that you examine them thoroughly and either update the data directly in the grid or upload a corrected template.
Time Entry Validations
To ensure the integrity of the data entering Dayforce and reduce the time and effort spent on manually validating customer data, the following checks have been implemented for the most common errors based on user feedback.
Here are the validation scenarios:
Duplicate and Overlapping Records
- Duplicate Records: Test for duplicate records, either within the file or already existing in Dayforce.
- Overlapping Records: Check for overlapping records, either within the file or already existing in Dayforce.
Break Times
- Alignment with Shift Work Times: Verify that break times are correctly aligned with the shift work times.
- Break Type Inclusion: Make sure that a break type is correctly added when break times are included in the file.
Shift Records
- Correct Shift Records: Make sure that shifts have the correct records applicable for employees based on Dayforce setup.
Work Assignment Integrity
- Job Assignment and Org Unit: Check if the combination of the job assignment and org unit, or each field individually, corresponds to a valid work assignment for the given employee.
Time Entry Policy
- Time Entry Policy Assignment: Check if the given employee has a time entry policy assigned in Dayforce.
When the installation is complete, go to the Timesheets section of Dayforce to access the loaded data.
