Each form is associated with a workflow that determines how the form is processed. When a user submits a form, the associated workflow is automatically triggered. Typically, a workflow involves forwarding the form to the appropriate person for approval, sending notifications of the decision, and updating information in Dayforce.
Depending on the workflow, when you submit a form, Dayforce can:
- Route the form to another user for approval: For example, when a department manager completes the New Hire form for their newly hired employee, the form is sent to an HR administrator for review and approval; if approved, it’s processed.
- Process the form: When Dayforce processes a form, it applies the information in the form; this might involve updating an employee's status in their employee records in the People feature, if a Request Leave of Absence form was processed, or creating an employee record when the New Hire form is processed.
- Send notifications: Appropriate users are notified, in some cases, when forms are processed; location managers are notified when New Hire Forms are processed and the new employee is recorded in the system.
Workflows use Message Center to notify users involved in the business process. Messages can take the form of email, text messages, and Dayforce notifications.
If a supplied form is modified as part of a new release, the previous version of the form will continue to be used for any submissions still in progress. Any new submissions will use the latest version of the form.
Note: When employee data mapping rules are triggered for a future dated change processed on a workflow, the data mappings are executed on the date of the future dated change. Dayforce generates a future dated employee HR record so that the changes made by the mappings are effective on the same date as the related change. However, when a change is made to a custom employee property, the data mappings are executed on the date the change is approved on a workflow.
