In the Dayforce vacation bidding features, a calendar is an individual record that contains all of the relevant dates for a vacation bidding session. For each calendar, you configure:
- The dates during which employees can bid on vacation days (the submission round).
- The eligible date range containing the days that employees can bid on for vacation (the period).
- The dates when the vacation bids are processed (the processing round).
Depending on your organization’s needs, you can configure multiple submission rounds for your employees to bid on vacation periods. With multiple submission rounds, employees can submit new bids if they previously bid on a day or period that was granted to another employee. Further, you can adjust the bidding hierarchy for additional submission rounds so that employees that were ranked low in the hierarchy in the first round are ranked higher in the second round.
After submission rounds end, a processing round analyzes all of the employee bids and determines (based on your configuration) which bids are granted and which are denied. For example, if the maximum number of employees allowed to take a day off is met, Dayforce denies additional bids for the same day.
Important: You can’t create submission rounds that overlap with another existing submission round for the selected calendar. Also, when configuring multiple submission rounds, it’s recommended that you configure each round’s processing date to occur before the next submission round begins.
Typically, you should configure submission rounds at least a few weeks, or months, prior to the calendar period with eligible vacation dates that employees can bid on. This ensures that employee coverage is sufficient and gives employees ample time to plan for their time away periods. For example, you might configure your calendar so that employees can bid on vacation dates for the new year (January through March 2021) in October 2020.
