Unknown Birth Date (Germany)

Dayforce Implementation Guide

Unknown Birth Date (Germany)

Before You Begin: The Unknown Birth Date checkbox is visible only for employees belonging to a German pay group and editable only if the employee's birth country isn’t Germany.

The Unknown Birth Date checkbox is shown in the Personal > Confidential Information screen of People and in new hire and rehire forms for employees belonging to a German pay group. When the employee's birth country is Germany and their nationality is German, the checkbox is read-only. When the employee's birth country isn't Germany and their nationality isn’t German, the checkbox is editable.

Use the Unknown Birth Date checkbox when a new employee can't provide proof of their birth date when you initially hire them. Selecting the Unknown Birth Date checkbox allows you to use a placeholder birth date when registering the employee in the SI system (via DEÜV notifications). Then, when a Social Insurance Number (SIN) is subsequently assigned to the employee by the government, you can use the numbers in positions 3 to 8 of the SIN for the employee's date of birth. The numbers in positions 3 to 8 of the SIN include the day or month when the SIN was assigned, because there’s no knowledge of the day or month the employee was born.

No SIN

If the employee doesn't have a SIN yet, you can enter 01 for the unknown day and 01 for the unknown month, along with the known year. For example, if you know only that the employee was born in 1974, you would enter their birth date into Dayforce as 01/01/1974. If you know only that the employee was born in May of 1974, you would enter 01/05/1974. Finally, if you know only that the employee was born on the 17th day of an unknown month in 1974, you would enter 17/01/1974.

SIN

If the employee has a SIN already, use the numbers from positions 3 to 8 of the SIN for the employee's date of birth. For example, if the employee's SIN is 13 140374 0587 M 565 and they were born in 1974, enter 14/03/1974 in the Birth Date field in Dayforce. As mentioned previously, March 14 indicates the date that the SIN was processed for the employee, because no birth date was available.
