Sub-Tabs of the Deductions Tab

Deduction definitions can have multiple configuration options, which are set in tabs that are displayed, depending on the deduction. The following list links to descriptions of each tab:

General Sub-Tab

The General tab contains the core configuration for the deduction. It contains the foundational configuration information about a deduction definition. Note that selecting some settings can change which fields are displayed in the General section.

Fields in the General sub-tab
Label Description
Name Name of the deduction.
Display Name Name of the deduction to display on earning statements. The maximum length for printed earning statements is 15 characters. For short names and descriptions, the application allows numeric characters 0-9, alphabet characters A-Z, as well as currency signs ($, £, €) and single quotation marks
Reference Code
Cross-reference code for the deduction, used in imports and exports of data from Dayforce to other applications.
Active Select this checkbox to indicate an active deduction.
Allow Payee

Selecting this checkbox loads the Payees tab and the Payee Category drop-down list. You must select one payee only as the default for each effective date range. Configures Dayforce so that the deduction is sent to a payee that you designate. See Third Party Payee Configuration.

The category that you select filters the list of payees that you can select as part of the deduction definition. For example, if you select Benefit in the Payee Category drop-down list, Dayforce only shows payees that are configured with the Benefit category. You can configure additional payee categories to classify payees and organize them together in similar groups.

Workers Comp Select this checkbox to configure deduction definitions for US workers' compensation premiums.
Country Customizations
Country Select a country to apply the payroll election override to.
Payroll Entry If cleared, hides the deduction in the Quick Entry, Checks, and Adjustments sub-tab in Payroll > Pay Run Management and Payroll > Data Entry and in the Payroll Import feature, for employees whose pay group matches the specified country. Also, when you clear this checkbox, the deduction is hidden from the Code filter in the Quick Entry sub-tab.
Payroll Election If cleared, restricts the use of the deduction on payroll elections for employees whose pay group matches the specified country,
Groupings
Custom Deduction Groupings Select which custom defined deduction groupings this deduction is to be a part of for reporting or payroll calculations.
Statement Overrides
Suppress on Earning Statement This checkbox is active if the deduction has Memo Deduction selected from the Tax Type drop-down list in the Tax and Compliance tab. Select this checkbox if you don’t want the application to print the memo deduction on earning statements.
Display on Compensation Statement

Select this checkbox to include deduction details in the Deductions section of the employee total compensation statement.

Display Remaining Balance on Earning Statement (UK and Ireland Only) Loads a drop-down list when you select the Declining Balance checkbox in the Options sub-tab. Select a country in the list to display remaining balances for deductions (for example, loans) on employee payslips in that country.

Options Sub-Tab

Fields in the Options sub-tab
Label Description
Global Settings
Source Select either Payroll or Benefits, depending on the source of the deduction. Note that if a user role doesn’t have create, read, update, or delete access for benefits-sourced deduction definitions, that user cannot access the benefits-sourced deduction definitions to users in the employee profile. More information about access authorization is available in the topic Configure User Role Authorizations.
Allow Arrears

Select the Allow Arrears checkbox to configure the application to carry forward any unpaid amounts if it calculates that employees don’t have enough earnings to cover the entire deduction. The application attempts to deduct the unpaid portion of 'allow arrears' deductions off of the next pay.

Deductions can be configured to both allow partial payments and go into arrears. For example, an employee has a $100 deduction applied with only $90 left in earnings. With Allow Partial selected, the application would deduct $90 as a partial payment for the deduction and with Allow Arrears selected, it carries the $10 forward. Conversely, if the deduction didn’t allow partial payments but did allow arrears, the application wouldn’t deduct anything for the deduction from the $90, because that’s not enough to cover the entire deduction, and the full amount of $100 would go into arrears and be carried over to the next pay period. If a deduction is configured with both Allow Partial and Allow Arrears cleared, the application doesn’t make the deduction, nor does it carry the owing amount forward to the next pay period.

Select this checkbox to make the Arrears section available, which includes the Arrear Multiplier Limit Option field and the Allow Arrears for Inactive Employees and Allow Impromptu Arrears checkboxes.

Debit Journal Number This can be used to export general ledger debit information from the application.See General Ledger Setup.
Allow Partial

Select the Allow Partial checkbox to configure the application to calculate and subtract partial payments for the deduction. For deductions that allow partial payments, the application only deducts what an employee can pay if it calculates that the employee doesn’t have enough pay to cover the entire deduction.

Clear the checkbox and the application doesn’t deduct partial payments for the deduction; the application wouldn’t deduct anything if it has calculated that an employee doesn’t have earnings for the entire deduction amount.

Extend Date Effectiveness to Pay Date Select this checkbox to configure the deduction to apply it to a pay period if employees have been assigned to the deduction after the end date of the pay period but before the pay date of the pay period. For example, a pay period runs from September 1 to September 15 and has a pay date a week later on September 22, and you assign the deduction to an employee in the Payroll > Payroll Elections screen of the People feature with an effective date of September 20. In this case, the deduction will be applied to the employee’s pay for the September 1 to 15 pay period because it was assigned with an effective date before the pay period’s pay date.
Exclude Scheduled Amount for 27/53 Pay Date Select this checkbox to avoid overpayment or over-withholding for biweekly/weekly pay periods for years with 27 biweekly or 53 weekly pay periods. Recommended for deductions with a Source of Payroll. Not recommended for deductions with a Source of Benefits. Detailed information is available in the topic Scheduled Amount Management in the Payroll Administrator Guide.
Credit Journal Number This can be used to export general ledger credit information from the application. See General Ledger Setup.
Declining Balance

Checkbox indicating if the deduction allows a declining balance. Selecting this also causes the Display Remaining Balance on Earning Statement option checkbox to load immediately below this option.

Select the Declining Balance checkbox to configure a deduction that represents payments that are applied against an outstanding balance owed, such as a computer loan. Outstanding balance deductions are only paid if an employee has an outstanding balance; computer loans might be available from the employer to all employees, but only the employees who took the loan to pay for a computer have their pay deducted and then only until the loan is paid off.

Important: The loan amount must be specified in People as an employee election. See Balances and Arrears.

Mid-Period Proration Select an option in this drop-down list for the application to prorate scheduled deduction elections that are started or ended in the middle of a pay period. This setting is only available to users who log in to the application using a Service User role. See Mid-Period Proration for Payroll and Benefits Elections.
Employer Contribution

Select an option in this drop-down list to attach employer-matched earnings to deductions. The available options include the following: HSA Deduction, Deferred Compensation, and No Selection.

Existing deductions that are marked as HSA Deduction must have the HSA Deduction option selected in the drop-down list, but existing deductions that aren’t marked as HSA Deduction must have the No Selection option selected in the drop-down list.

Employer Match Lookup Type Displays if HSA Deduction option is selected. You can choose from two choices for the employer match: Deduction and Earning.
Employer Match Lookup Value

Displays if you select HSA Deduction or Deferred Compensation. This drop-down list displays a list of earning or deduction options without a tax and compliance code.

Generate Only on Current Pay Group Select this checkbox to generate the deduction only on the current pay group.
Import From Vendor Interface This is available for 401(k), 401(k) Roth, and 401(k) Catchup deduction definitions. The only option in the drop-down list is Fidelity Deferral Feed.
Vendor Plan ID Required if customer needs to set up a Voluntary RSP deduction.
Allow for On-Demand Pay Reconciliations Makes the deduction selectable in the On-Demand Pay setup screen for automatic reconciliation of negative net pay conditions. Select the deduction in the setup screen under the Negative Net Pay Reconciliation drop-down list.

State Payroll Tax Report Configuration

This section appears when the Deductions code is associated with a Tax Compliance rule of Australia.

Taxable/Exempt When a deductions code has one of the options selected in this field, it will be picked up for Australian State payroll tax reporting. When no option is selected, the Deductions code will not get included in the Australian State payroll tax report at all.

Options under the Taxable/Exempt category are:

  • Exempt from all States/Territories - Enables the Exempt category options.
  • Taxable in all States/Territories - Enables the Taxable category options.
  • Taxable in selected States/Territories - Enables the Taxable category, Exempt category, and Taxable in drop-down lists.
Taxable Category The following taxable category options are active when you select the Taxable in all States/Territories or the Taxable in selected States/Territories options in the Taxable/exempt drop-down list:
  • Allowances
  • Bonuses
  • Commissions
  • Contractor payments
  • Directors fees
  • Fringe Benefits
  • Other taxable payments
  • Salaries & wages
  • Shares & options
  • Superannuation
Exempt Category The following options are active when you select the Exempt from all States/Territories or the Taxable in selected States/Territories options in the Taxable/exempt drop-down list:
  • Apprentice & trainee wages
  • Defence Force
  • Disability wages
  • Employee overseas
  • Maternity/paternity leave
  • Other exempt payments
  • Worker's compensation
Taxable in Maps a deductions code to be taxable or exempt for specific states or territories only. The field is relevant only when you select the Taxable in selected States/Territories option in the Taxable/exempt drop-down list.

Select the state or territory where the code is to be taxable:

  • Australian Capital Territory
  • New South Wales
  • Northern Territory
  • Queensland

Stop Payment Method

Select a stop payment method from the drop-down list:

  • Full Stop In First Period
  • Full Stop In First Period If No Auto Pay
  • Full Stop In Next Period

United States
AZ Charity Credit This checkbox is displayed for post-tax deductions. Select the checkbox to use this deduction for the Arizona Charitable Tax Credit. It is recommended that you only set up one deduction with this property. When selected, Arizona state withholding is offset by the amount deducted.
Military Make Up Deduction This checkbox is displayed only for some deductions (for example, 401(k)) that are eligible as military makeup deductions.
Make Up Year This field is displayed if you select the Military Make Up Deduction checkbox. Enter the makeup year in this field.
Allow Retro Adjustments
Arrears
Arrear Multiplier Limit Option

(Shown if Allow Arrears is selected.) Enter an amount to restrict the arrears amount deducted when the application begins to deduct arrears amounts. For example, enter 2, and Dayforce never deducts more than two times the regular deduction amount. If the employee has a regular $200 deduction per pay period, but has $1,000 in arrears: Dayforce deducts only $400 per pay until the arrears amount is paid, then returns to deducting $200 per pay period.

Allow Arrears for Inactive Employees (Shown if Allow Arrears is selected.) Select this checkbox to allow Dayforce to calculate arrears for inactive employees. For example, if an employee pays $25 in deductions for a health benefit plan per weekly pay period, and the employee goes on an unpaid leave of absence for four weeks, selecting this option notifies Dayforce to calculate arrears while the employee is on leave, which would result in an arrears amount of $100.
Allow Impromptu Arrears

(Shown if Allow Arrears is selected.) Select this checkbox so that users in Payroll have the option to create and recover arrears for unscheduled amounts for this particular deduction. Additional information is available in Impromptu Arrears for Manual Deduction Entries.

Selecting this checkbox opens the Debit Arrears by Default option.

Important: If the Allow Impromptu Arrears checkbox is selected, Dayforce attempts to collect the outstanding balance from the next available pay date. This applies to deductions that have been zeroed-out, unelected, or end-dated in the past. This setting also overrides the check template setting Exclude all deductions, which causes Dayforce to attempt to recover the outstanding arrears balance. This does not apply to scheduled arrears-enabled deductions.

Debit Arrears by Default (Shown if Allow Impromptu Arrears is selected.) Select this to make the option to create and recover arrears for unscheduled amounts the default behavior when users in Payroll create an entry for this particular deduction. See Impromptu Arrears for Manual Deduction Entries.
Allow Retro Adjustments (Shown if Allow Impromptu Arrears is selected.) Select this option to enable retroactive adjustments to deduction arrears.

  • Net Pay Deduction: (Post-tax deduction) The application withholds the deduction from the payment after it deducts employee tax. For example, if an employee has $1,000 in earnings and a $100 deduction, their taxable wages are $1,000.
  • Memo Deduction: The deduction doesn’t impact an employee's earnings or taxable wages. It is located in the Memo Information section of the earning statement.

Parameters Sub-Tab

This tab contains parameters that the application uses to calculate the deduction. The following is a description of the fields and controls in the Parameters sub-tab of the Deductions tab in Payroll Setup > Earning and Deductions. These parameters can be configured to specify the calculation method that Dayforce uses for the deduction.

Fields in the Parameters sub-tab
Label Description
Calculation Type Select the calculation that the application uses to calculate this deduction. This drop-down contains several options:
  • Above Amount Of
  • Above Percent Of
  • Expression
  • Flat Amount
  • Flat Amount Of
  • Percent Of
Apply from Normal checks by Legal Entity Select whether to generate this deduction for all associated legal entities for an employee or just their primary legal entity.
Calculate Total in each legal Entity This option is available if you select Allow applying to each legal entity in the Apply from Normal Checks by Legal Entity tab.
Access

Select the level at which to apply the calculation values:

  • Employee: Values are employee-specific and provided on each employee's record in People. For example, with the Calculation Type set to Percent of, you need to specify the percentage value that the application uses to calculate the deduction on the records of every employee whose pay is deducted.
  • This configuration allows you to specify individual values for each employee; it is the most granular or specific method of providing deduction values.
  • Pay Group: Values are pay group-specific and provided in the Pay Groups tab of the deduction definition; employee overrides cannot be provided, so the value specified for a pay group is used for all employees who belong to that pay group. For example, with Flat Amount selected as the Calculation Type, you need to specify the dollar amount deducted from the pay of employees in each pay group.
  • This configuration allows you to specify values for entire pay groups at a time; it is less granular than the Employee option but appropriate when the employees grouped in a single pay group never have different values deducted from their pay.
  • Pay Group or Employee Override: Values are pay group-specific but can be overridden per employee in People. You could specify a $500 flat amount deduction in a pay group as a default value, but then specify overrides of $650 for a few specific employees; for the employees with an override in People, the application uses the employee-specific value instead of their pay group's value.
  • This configuration allows you to specify common or default values for pay groups with the option of overriding the value for specific employees.
Look Up Type

Defines what type of reference the application makes in order to calculate the deduction depending. Each selection from the Calculation Type drop-down list requires that the application references some other earning, deduction, or grouping, when calculating the deduction, except for the Flat Amount option.

For example, to configure a deduction where employees pay, into their 401(k) accounts, 5% of whatever they earn, you would need to reference an earning, specifically the earning that represents regular earnings.

Select one of the following values:

  • Deduction: The application references another deduction when calculating the amount of the deduction.
  • Deduction Grouping: The application references a deduction grouping (the sum of several individual deductions) when calculating the amount of the deduction.
  • Earning: The application references an earning when calculating the amount of the deduction.
  • Earning Grouping: The application references an earning grouping (the sum of several individual earnings) when calculating the amount of the deduction.
Look Up Value Based on the deduction or earning option selected in Look Up Type, select the earning, deduction, or group used to calculate the deduction.
Expression See the Expression Builder Guide.

Limits Sub-Tab

This tab contains parameters to configure calculation limits for the deduction. You can configure deduction limits to apply a cap on the amounts that you can deduct from employees' salaries. See Configure Deduction Limits.

The following is a description of the fields and controls in the Limits sub-tab of the Deductions tab in Payroll Setup > Earnings and Deductions.

Fields in the Limits sub-tab
Label Description
Accumulation Type Define the duration that Dayforce references when applying a limit to this deduction. For example, if Month to Date is selected, Dayforce applies the limit to the current month, tracking the amount employees have paid for the deduction from the start of the month and capping it at the specified limit.
Accumulation Type Detail Define whether the accumulation includes all legal entities in the check country or only the legal entity of the check that is being calculated.
Access

Select the level to define access limits:

  • Employee: Limits are employee-specified as defined on each payroll election record in the employee profile.
  • Pay Group: Limits are pay group-specific as defined in the Pay Groups tab of this deduction definition and applied for all employees who belong to the pay group.
  • Pay Group or Employee Override: Default limits are pay group-specific defined in the Pay Groups tab of this deduction and apply to all employees belonging to the pay group. Optionally specify employee level overrides in payroll election records in the employee profile.
Limit Type

Select the limit method that the application uses to cap this deduction:

  • Fixed Amount. Limits the deduction to a specified monetary amount.
  • Percent of. Limits the deduction to a percentage of the reference selected in Look Up Value.
Look Up Type Define what type of reference (code, grouping or expression rate table) the application needs to look to when applying a limit to this deduction.
Look Up Value Based on the look up type defined, select the specific value the application needs to look to when applying a limit to this deduction.
Reference Code Also known as cross-reference codes which are used in Dayforce for exports and imports to integrate into other applications and systems used by your organization. Reference codes can also help you identify the different elements in the application in the scripts and processes that export your organization’s data from Dayforce.

Pay Groups Sub-Tab

This tab contains settings to configure the default schedule, parameter and limit values to apply to all employees of a pay group unless they have an employee level override configured.

The following is a description of the fields and controls in the Pay Groups sub-tab of the Deductions tab in Payroll Setup > Earning and Deductions:

Fields in the Pay Groups sub-tab
Label Description
Pay Group Select the pay group to which you want to apply this deduction, its configured limits and/or parameter.
Schedule Define a default frequency to calculate the deduction for all employees of a pay group unless they have a schedule override defined at the employee payroll election level. If no selection is made, Every Regular Run will be applied.

This option is available if you selected Pay Group or Pay Group or Employee Override in Access column in the Limits tab and then selected Fixed Amount as a Limit Type.

Payees Sub-Tab

Before You Begin: You must add third-party payees in your instance to make them available in the Payees tab. See Third Party Payee Configuration.

This tab loads if the Allow Payee checkbox in the General tab is selected. This tab contains the settings to configure payee categories and the pay schedule effective dates.

The following is a description of the fields and controls in the Payees sub-tab of the Deductions tab in Payroll Setup > Earning and Deductions:

Fields in the Payees sub-tab
Label Description
Payee Category Classification category for the third-party type that can receive payments or amounts calculated for this deduction.
Payee Name of the third-party payee that receives the deduction payments. The payee name includes the reference code for easier identification. For example, a payee called AB Non-Reg SV EE is listed with its reference code ATNJ. Therefore, in the drop-down list, this payee is listed as AB Non-Reg SV EE - ATNJ.
Reference Code XREF code used for imports, exports, and reporting. For example, if you are configuring a Clerk Job in Dayforce, you might use Clerk_Job as the reference code.
Effective From Date when the scheduled payments that are calculated for the deduction start.
Effective To Date when the scheduled payments that are calculated for the deduction ends.
Default

You must mark one payee as the default for each effective date range. Dayforce auto-populates the default payee when you add a new payroll election record for this earning or deduction in an employee's profile.

You can mark a payee with future effective dates, and you can mark different default payees with different date ranges. For example, Default Payee A has an Effective From date of 4/29/2019 and an Effective To date of 03/19/2021, and Default Payee B has an Effective From date of 03/22/2021 and no Effective To date.

Payee Parameters Parameter information that might be required when you configure the deduction. Parameters are set up when you create the third-party payee.
