Deduction definitions can have multiple configuration options, which are set in tabs that are displayed, depending on the deduction. The following list links to descriptions of each tab:
- General Sub-Tab
- Options Sub-Tab
- Tax and Compliance Sub-Tab
- Parameters Sub-Tab
- Limits Sub-Tab
- Pay Groups Sub-Tab
- Payees Sub-Tab
The General tab contains the core configuration for the deduction. It contains the foundational configuration information about a deduction definition. Note that selecting some settings can change which fields are displayed in the General section.
Label | Description |
---|---|
Name | Name of the deduction. |
Display Name | Name of the deduction to display on earning statements. The maximum length for printed earning statements is 15 characters. For short names and descriptions, the application allows numeric characters 0-9, alphabet characters A-Z, as well as currency signs ($, £, €) and single quotation marks |
Reference Code |
Cross-reference code for the deduction, used in imports and exports of data from Dayforce to other applications. |
Active | Select this checkbox to indicate an active deduction. |
Allow Payee |
Selecting this checkbox loads the Payees tab and the Payee Category drop-down list. You must select one payee only as the default for each effective date range. Configures Dayforce so that the deduction is sent to a payee that you designate. The category that you select filters the list of payees that you can select as part of the deduction definition. For example, if you select Benefit in the Payee Category drop-down list, Dayforce only shows payees that are configured with the Benefit category. You can configure additional payee categories to classify payees and organize them together in similar groups. |
Workers Comp | Select this checkbox to configure deduction definitions for US workers' compensation premiums. |
Country Customizations | |
Country | Select a country to apply the payroll election override to. |
Payroll Entry | If cleared, hides the deduction in the Quick Entry, Checks, and Adjustments sub-tab in Payroll > Pay Run Management and Payroll > Data Entry and in the Payroll Import feature, for employees whose pay group matches the specified country. Also, when you clear this checkbox, the deduction is hidden from the Code filter in the Quick Entry sub-tab. |
Payroll Election | If cleared, restricts the use of the deduction on payroll elections for employees whose pay group matches the specified country, |
Groupings | |
Custom Deduction Groupings | Select which custom defined deduction groupings this deduction is to be a part of for reporting or payroll calculations. |
Statement Overrides | |
Suppress on Earning Statement | This checkbox is active if the deduction has Memo Deduction selected from the Tax Type drop-down list in the Tax and Compliance tab. Select this checkbox if you don’t want the application to print the memo deduction on earning statements. |
Display on Compensation Statement |
Select this checkbox to include deduction details in the Deductions section of the employee total compensation statement. |
Display Remaining Balance on Earning Statement | (UK and Ireland Only) Loads a drop-down list when you select the Declining Balance checkbox in the Options sub-tab. Select a country in the list to display remaining balances for deductions (for example, loans) on employee payslips in that country. |
Label | Description |
---|---|
Global Settings | |
Source | Select either Payroll or Benefits, depending on the source of the deduction. Note that if a user role doesn’t have create, read, update, or delete access for benefits-sourced deduction definitions, that user cannot access the benefits-sourced deduction definitions to users in the employee profile. |
Allow Arrears |
Select the Allow Arrears checkbox to configure the application to carry forward any unpaid amounts if it calculates that employees don’t have enough earnings to cover the entire deduction. The application attempts to deduct the unpaid portion of 'allow arrears' deductions off of the next pay. Deductions can be configured to both allow partial payments and go into arrears. For example, an employee has a $100 deduction applied with only $90 left in earnings. With Allow Partial selected, the application would deduct $90 as a partial payment for the deduction and with Allow Arrears selected, it carries the $10 forward. Conversely, if the deduction didn’t allow partial payments but did allow arrears, the application wouldn’t deduct anything for the deduction from the $90, because that’s not enough to cover the entire deduction, and the full amount of $100 would go into arrears and be carried over to the next pay period. If a deduction is configured with both Allow Partial and Allow Arrears cleared, the application doesn’t make the deduction, nor does it carry the owing amount forward to the next pay period. Select this checkbox to make the Arrears section available, which includes the Arrear Multiplier Limit Option field and the Allow Arrears for Inactive Employees and Allow Impromptu Arrears checkboxes. |
Debit Journal Number | This can be used to export general ledger debit information from the application. |
Allow Partial |
Select the Allow Partial checkbox to configure the application to calculate and subtract partial payments for the deduction. For deductions that allow partial payments, the application only deducts what an employee can pay if it calculates that the employee doesn’t have enough pay to cover the entire deduction. Clear the checkbox and the application doesn’t deduct partial payments for the deduction; the application wouldn’t deduct anything if it has calculated that an employee doesn’t have earnings for the entire deduction amount. |
Extend Date Effectiveness to Pay Date | Select this checkbox to configure the deduction to apply it to a pay period if employees have been assigned to the deduction after the end date of the pay period but before the pay date of the pay period. For example, a pay period runs from September 1 to September 15 and has a pay date a week later on September 22, and you assign the deduction to an employee in the Payroll > Payroll Elections screen of the People feature with an effective date of September 20. In this case, the deduction will be applied to the employee’s pay for the September 1 to 15 pay period because it was assigned with an effective date before the pay period’s pay date. |
Exclude Scheduled Amount for 27/53 Pay Date | Select this checkbox to avoid overpayment or over-withholding for biweekly/weekly pay periods for years with 27 biweekly or 53 weekly pay periods. Recommended for deductions with a Source of Payroll. Not recommended for deductions with a Source of Benefits. Detailed information is available in the topic Scheduled Amount Management in the Payroll Administrator Guide. |
Credit Journal Number | This can be used to export general ledger credit information from the application. |
Declining Balance |
Checkbox indicating if the deduction allows a declining balance. Selecting this also causes the Display Remaining Balance on Earning Statement option checkbox to load immediately below this option. Select the Declining Balance checkbox to configure a deduction that represents payments that are applied against an outstanding balance owed, such as a computer loan. Outstanding balance deductions are only paid if an employee has an outstanding balance; computer loans might be available from the employer to all employees, but only the employees who took the loan to pay for a computer have their pay deducted and then only until the loan is paid off. Important: The loan amount must be specified in People as an employee election. |
Mid-Period Proration | Select an option in this drop-down list for the application to prorate scheduled deduction elections that are started or ended in the middle of a pay period. This setting is only available to users who log in to the application using a Service User role. |
Employer Contribution |
Select an option in this drop-down list to attach employer-matched earnings to deductions. The available options include the following: HSA Deduction, Deferred Compensation, and No Selection. Existing deductions that are marked as HSA Deduction must have the HSA Deduction option selected in the drop-down list, but existing deductions that aren’t marked as HSA Deduction must have the No Selection option selected in the drop-down list. |
Employer Match Lookup Type | Displays if HSA Deduction option is selected. You can choose from two choices for the employer match: Deduction and Earning. |
Employer Match Lookup Value |
Displays if you select HSA Deduction or Deferred Compensation. This drop-down list displays a list of earning or deduction options without a tax and compliance code. |
Generate Only on Current Pay Group | Select this checkbox to generate the deduction only on the current pay group. |
Import From Vendor Interface | This is available for 401(k), 401(k) Roth, and 401(k) Catchup deduction definitions. The only option in the drop-down list is Fidelity Deferral Feed. |
Vendor Plan ID | Required if customer needs to set up a Voluntary RSP deduction. |
Allow for On-Demand Pay Reconciliations | Makes the deduction selectable in the On-Demand Pay setup screen for automatic reconciliation of negative net pay conditions. Select the deduction in the setup screen under the Negative Net Pay Reconciliation drop-down list. |

Make Up Year | This field is displayed if you select the Military Make Up Deduction checkbox. Enter the makeup year in this field. |
Allow Retro Adjustments | |
Arrears | |
Arrear Multiplier Limit Option |
(Shown if Allow Arrears is selected.) Enter an amount to restrict the arrears amount deducted when the application begins to deduct arrears amounts. For example, enter 2, and Dayforce never deducts more than two times the regular deduction amount. If the employee has a regular $200 deduction per pay period, but has $1,000 in arrears: Dayforce deducts only $400 per pay until the arrears amount is paid, then returns to deducting $200 per pay period. |
Allow Arrears for Inactive Employees | (Shown if Allow Arrears is selected.) Select this checkbox to allow Dayforce to calculate arrears for inactive employees. For example, if an employee pays $25 in deductions for a health benefit plan per weekly pay period, and the employee goes on an unpaid leave of absence for four weeks, selecting this option notifies Dayforce to calculate arrears while the employee is on leave, which would result in an arrears amount of $100. |
Allow Impromptu Arrears |
(Shown if Allow Arrears is selected.) Select this checkbox so that users in Payroll have the option to create and recover arrears for unscheduled amounts for this particular deduction. Selecting this checkbox opens the Debit Arrears by Default option. Important: If the Allow Impromptu Arrears checkbox is selected, Dayforce attempts to collect the outstanding balance from the next available pay date. This applies to deductions that have been zeroed-out, unelected, or end-dated in the past. This setting also overrides the check template setting Exclude all deductions, which causes Dayforce to attempt to recover the outstanding arrears balance. This does not apply to scheduled arrears-enabled deductions. |
Debit Arrears by Default | (Shown if Allow Impromptu Arrears is selected.) Select this to make the option to create and recover arrears for unscheduled amounts the default behavior when users in Payroll create an entry for this particular deduction. |
Allow Retro Adjustments | (Shown if Allow Impromptu Arrears is selected.) Select this option to enable retroactive adjustments to deduction arrears. |
This tab contains tax and compliance settings for the deduction.
