Shift Trading Policy Settings

You configure shift trading policies in Schedule SetupShift Trading Policy.

(Required)

The policy name.
Description The policy description.
Organization The org unit the policy applies to.
Reference Code A reference code for the policy. This code must be unique and must not contain special characters.
Allow shift trading

Employees can review shifts which are marked as available to pick up and posted by other employees,

Clear this checkbox to disable shift trading for employees assigned to the policy.

Allow posting shifts

Employees can post shifts that can be picked up by other employees who do the same job.

Clear this checkbox to restrict employees from posting shift offers.

Allow direct shift posting

Employees can offer shifts directly to other employees that they specify.

Clear this checkbox to restrict employees from offering shifts directly to their choice of employees.

Allow shift swaps

Employees can swap shifts with another employee.

Clear this checkbox to restrict employees from initiating shift swaps.

Allow shift retrades

Employees can retrade shifts that were previously swapped or picked up. When this checkbox is selected, employees can offer or swap shifts that they picked up from another employee through shift trading.

Clear this checkbox to let employees trade a shift only one time. After a shift is picked up or a shift swap is accepted, the shift can’t be traded again.

Allow partial shifts

Employees can trade a portion of their shift.

Clear this checkbox to let employees offer or swap only full shifts.

Allow during shifts

Employees can trade a portion of a shift that’s already in progress.

When this checkbox is selected, you must also select the Allow partial shifts setting so that employees can trade a portion of a shift.

Further, the Allow during shifts setting is dependent on the Shift trade lead time (in hours) setting. Depending on how you configure the shift trade lead time, employees might have limited or no time to trade a shift that’s in progress.

Allow cancellation of trades

Employees can cancel shift offers and swaps, even after they’ve been accepted by another employee. If this checkbox is selected, employees can also cancel accepted shift trades after a manager has approved the trades (that is, if the Require supervisor approval checkbox is also selected).

When this checkbox is selected, the Revoke shift trade option is shown in the Shift trade menu after employees click an accepted and, in some cases, approved shift trade in Work > Calendar. The Revoke shift trade option is also available for pending shift trades, by default.

Require supervisor approval Supervisor approval becomes mandatory for all shift trades. When this checkbox is selected, Dayforce notifies managers after their employees accept a shift trade. The shift trade is considered “pending” until a manager approves it.
Return to trade

Employees can cancel a shift trade after the manager’s approval and make the shift available to trade again to all eligible employees instead of sending it back to the original employee.

To enable this setting, you must also select Allow cancellation of trades and Require supervisor approval.

Clear this checkbox to restrict employees from canceling shift trades and making shifts available to pick up for all eligible employees.

Enforce work attribute validation

When selected, Dayforce prevents employees from seeing shift trades that they’re ineligible for and from offering shifts and shift swaps to other ineligible employees.

Clear this checkbox to not enforce work attribute validation on any shift trades.

Include employment statuses

The employment statuses that are eligible for shift trading. When this setting is configured, only shifts assigned to employees with the specified employment statuses can be traded by employees.

Leave this field blank and Dayforce doesn’t examine employment statuses when determining a shift’s eligibility for trading.

Exclude employment statuses

The employment statuses that are ineligible for shift trading. When this setting is configured, shifts assigned to employees with the specified employment statuses can't be traded by employees.

Leave this field blank and Dayforce doesn’t examine employment statuses when determining a shift’s ineligibility for trading.

Include jobs

The jobs that are eligible for shift trading. When this setting is configured, only shifts with the specified job assignments can be traded by employees.

Leave this field blank and Dayforce doesn’t examine jobs when determining a shift’s eligibility for trading.

Exclude jobs

The jobs that are ineligible for shift trading. When this setting is configured, shifts with the specified job assignments can't be traded by employees.

Leave this field blank and Dayforce doesn’t examine jobs when determining a shift’s ineligibility for trading.

Include paycodes

The pay codes that are eligible for shift trading. When this setting is configured, only shifts marked with the specified pay codes can be traded by employees.

Leave this field blank and Dayforce doesn’t examine pay codes when determining a shift’s eligibility for trading.

Exclude paycodes

The pay codes that are ineligible for shift trading. When this setting is configured, shifts marked with the specified pay codes can't be traded by employees.

Leave this field blank and Dayforce doesn’t examine pay codes when determining a shift’s ineligibility for trading.

Supervisor approval deadline (in hours)
(Required)

The number of hours a supervisor has to approve a shift trade. If the supervisor doesn’t approve the shift trade within this deadline, it’s rejected.

Shift trade lead time (in hours)
(Required)

The number of hours before a shift starts that employees can offer or swap the shift. When an employee attempts to trade a shift that violates this threshold, Dayforce rejects the trade.

Shift trade future threshold (in days)
(Required)

The number of days in the future that employees can offer or swap shifts. When an offered shift occurs beyond the specified number of days from today, Dayforce rejects the shift trade.

For example, your organization wants to limit shift trades for shifts that are scheduled with more than 14 days’ notice. To support this requirement, you’d enter 14 in this field. When employees attempt to trade shifts that are scheduled 21 days ahead in the future, Dayforce prevents the shift trade because the shifts are scheduled outside of the future threshold.

Maximum threshold between shifts (in days) The maximum number of days that should be there between shifts that are swapped. For example, if you enter 7 in this field, employees can’t swap shifts that are scheduled nine days apart.
Period for maximum number of shift trades (Required)

The time period for the number of shift trades configured in the Maximum number of shift trades field. The options are:

  • Pay Period: This option uses the employee's pay calendar dates configured in the Pay Calendar tab of Pay Setup > Pay Group.
  • Quarterly: This option refers to the quarters in a calendar year, where the first quarter is from January to the end of March, the second quarter is from April to the end of June, the third quarter is from July to the end of September, and the fourth quarter is from October to the end of December.
  • Weekly: This option counts each week as a period.

Maximum number of shift trades
(Required)

The maximum number of shift trades that employees can make within the period configured in the Period for maximum number of shift trades field.

Note: Dayforce checks if the request exceeds the limit configured in this field. When you exceed the limit for the given period, the shift trade request is rejected with a validation error message.

Minimum partial shift length (minutes)
(Required)

The minimum length of a shift portion to qualify for a partial shift trade. For example, if you enter 300 in this field (that is, five hours), an employee can’t trade a shift portion that is four hours in length.
