When you schedule a New Hire type of review cycle, Dayforce displays a number of fields which allow you to define the length and start date of the review period in relation to a specified event in the employee’s career.
To schedule New Hire type review cycles:
- Go to Performance Setup > Review Setup.
- Click the Review Cycles tab.
- Select the New Hire type review cycle you want to schedule and add steps to.
- Click the Review Schedule tab.
- Complete the following fields to set the review schedule:
- Review Period Start Date: Select an event in the From Event drop-down list to set the date when employees are assigned the review. (Choose the hire date, start date, rehire date, or seniority date.) To offset the review period by a number of days after this event, enter the number of days in the Offset by (Days) field. The review period begins when the specified number of days have elapsed after the defined event.
- Review Period: Enter the number of days to define the length of the review period in the Length (Days) field. The review period is active for the specified number of days beginning on the date configured in the Review Period Start Date fields and ending when the number of days specified in the Length (Days) field have elapsed. For example, you can configure a review to run for the length of a new hire’s probation period by configuring the review to start zero days from the hire date, and entering the length of the probation period in the Length (Days) field (for example, 90 days).
- End Assignment on: This setting is always editable so you can add or modify the end date at a later time, if needed. Select one of the following options:
- No End Date: The application continues to assign employees to the review cycle as they become eligible.
- End on: Enter a date in the date field for when Dayforce stops assigning employees to the review cycle.
- Select any of the following options:
- Include Rehires: Select this checkbox and Dayforce includes rehires when assessing employee eligibility. This checkbox has different availability based on the event selected in the From Event drop-down list.
- Add Managers from the review period: This checkbox gives access to all managers from the review period so that they can view and complete the employee review. For example, if an employee's manager changed during the review period, this option allows the former manager to access and participate in the review. When you select this checkbox, anytime employees are assigned to this cycle in the future, this option will automatically apply to their reviews, and the managers from the review period will have access to the reviews of those employees.
- Allow Managers to mark review items as Not Applicable: This checkbox allows managers/peers to mark individual goals, competencies, and development plans as not applicable so that they are excluded from an employee's review.
- Allow Managers to view comments saved as draft by their employees: This checkbox allows managers to access the review comments and ratings that were autosaved, saved as draft, or previewed by their employees in performance reviews for the review cycle. When the checkbox is cleared, managers can see employee review input only after the review has been submitted.
- Display historical ratings and comments: This checkbox enables a history icon that employees and managers can click to view historical final ratings and comments. The From field is provided to specify the date from which the history is available.
- In the Specify steps in the Review Form section, select the review steps you want to include in the review cycle:
- Employee Self Review
- Manager Review
- Employee Signature
- Manager Signature
- Note: You must add either the Employee Self Review or Manager Review step.
- Complete the following fields for each of the review steps you selected:
- Start Date: Enter a number to define how many days after the review cycle is assigned (based on the configured review period dates) the selected step will start. For example, enter 2 if you want the Employee Review step to start two days after the review is assigned.
- Due in: Enter the number of days that the selected review step will last. For example, enter 14 if you want to give an employee two weeks to complete their review.
- (Optional) Instruction: Enter customized instructions for each review step.
- (Optional) Signature Statement: Enter customized signature statements for employees and managers. The default signature statement is "I agree."
- Click Save.
