This section describes the concept of retroactive adjustments, commonly referred to as “retros,” and how to set up Dayforce so that users can perform them. This setup is part of the pay group configuration as they are controlled by the pay groups, specifically their transmit settings.
After a pay group’s records have been transmitted to payroll, Dayforce locks down the relevant time and attendance records on the timesheet so that users can’t make any changes. The records are locked down because the employee has already been paid for the relevant time and any adjustments to these time and attendance records could impact how much that employee should have been paid.
On the timesheet, users with retros are represented by the retroactive pay adjustment icon ():
Retros are changes made to locked time and attendance records. Even though the pay period has been transmitted to payroll, if configured to do so, some users can still make adjustments to employees’ time by creating a retroactive adjustment.
If any retros are created, Dayforce recalculates the relevant payroll information, and if the amount the employee should have been paid changes, the difference is added to the employee’s next pay.
In Dayforce, a few aspects control when, or if, retroactive adjustments can be made:
- Transmitting payroll information. An employee’s time and attendance records are locked only after their pay group’s payroll information has been transmitted for a pay period. If you configure Dayforce to not transmit payroll information, then it will never lock time and attendance records, and in turn, retroactive adjustments will never be made.
- You control who transmits information to payroll by configuring Pay Admin Checklist. If you don’t grant access to this checklist, which is used to transmit payroll information, to any user role, time and attendance records won’t get locked down and there’s no need to create retros.
- Defining which user roles can create retros. You can control which users can make retros, by assigning the Can Create, Can Read, Can Update, and Can Delete permissions to the Retro Pay Adjustments and Retro Time Entries access authorizations.

- Note: When edits to a past schedule are made in Schedules, Dayforce runs the rule engine to recalculate the employee’s pay and, depending on the configuration of the pay rules and qualifiers in use, changes to pay can occur. As a result, for added security and to prevent inadvertent retros from being created, it isn’t possible to edit any schedules in Schedules on retro pay periods (that is, on transmitted pay periods). However, users with the required access can still edit schedules in past, non-retro periods. See Edit Past Schedules.
