Rehire Employees

You can rehire a terminated or inactive employee who has the same national ID number (for example, Social Security number or Social Insurance number) in their employee record. Onboard them in People using the Rehire form. When the form is submitted, approved, and processed, Dayforce updates their existing employee record. The employee can now be scheduled and have their time tracked, among other actions.

Rehiring an employee using the Rehire form involves searching by the employee's national ID number, employee number, first or last name, personal email, or mobile number. Dayforce populates the form with the employee's information from their terminated employee record. This information includes personal details, contact information and address, payroll settings and policies, job assignment, salary, emergency contacts, and their work location. You can update these values if necessary to represent the employee's current situation.

To onboard an employee using the Rehire form:

  1. Go to People.
  2. In the People List screen, click Action > New Hire and select Rehire.
  3. Enter the employee's national ID, employee number, first or last name, personal email, or mobile number in the Terminated Employee Search field.
  4. Click the employee record in the drop-down list. The form is populated with the information saved in the terminated employee record except for the values in the Entitlement Policy and Onboarding Policy fields.
  5. Update the existing information as required.
  6. Note: Dayforce automatically populates the employee's base rate with the greater of their previous rate, or the applicable minimum wage value saved in Dayforce. If there are no minimum wage values, or the employee's geographic location doesn't have a defined minimum wage amount, the base rate is automatically populated with the employee's previous rate.
  7. The settings in the Rehire form are the same as the settings in the New Hire form. See List of New Hire Form Settings.
  8. Click Submit.

Depending on the associated workflow, the form is sent for approval or immediately processed. After it's processed, Dayforce updates the employee's record, which is visible in People.
