The Payroll Post-Termination Job searches selected pay groups for employees with terminated employment statuses and checks to see if any end-of-employment forms have been issued for these employees after their termination date. If no form has been issued, the form is automatically generated and added to the unlocked pay run with a pay period in which the termination date occurred. After the form is generated, you can enter its details. If there are any validation errors, review the entry and process it in the normal way. This job currently only supports employees from the United Kingdom, Canada, and Mauritius.
This job only adds form entries to unlocked pay runs.
- In most cases, a form entry is added to an unlocked pay run for the pay period when the employee was terminated.
- If the termination date was in a past pay period with an unlocked pay run, the form entry is added to this pay run.
- If the termination date was in a past pay period where the pay run was already committed, the form entry is added to the next unlocked pay run.
- (Canada only) For ROE forms, if the ROE form already exists in the unlocked pay run for that employee, Dayforce regenerates the ROE.
- (UK only) For P45 forms, if a payroll administrator has manually issued a P45 for the terminated employee within the look back period, the background job doesn’t regenerate the form.
This job has the following settings:
End of Employment Form
Select the type of form that the background job should add.
Pay Groups
Select one or more pay groups that you want the background job to check for terminated employees.
Look Back Days
Enter the number of days from today that the background job should look for employee terminations. For example, if you enter the number 60, the background job looks back 60 days from today.
Include Inactive Employment Statuses (Canada - ROE Only)
Select one or more employment statuses that belong to the inactive status type. The background job generates ROE forms for Canadian employees who have these statuses in their HR profile in People.
As part of setting up the background job to generate ROE forms for inactive employees, you should configure the reason for issuing the ROE as a leave reason in HR Admin > Employment Status Reason. In this screen, when you select the Leave Reason checkbox, you can map an ROE reason code by selecting an option in the ROE Reason field.
Notifications
As part of the workflow to automate how end-of-employment forms are generated, you can receive notifications in Message Center and email by subscribing in System Admin > System Notifications.
