Pay Code Change By Balance Rule

The Pay Code Change By Balance Rule is used to convert one pay code to another based on a specified balance. When the rule runs, it updates the old pay code to the new pay code for as many hours as possible without decrementing the balance below zero.

Note: This rule can be used as part of a configuration where the previous balance is always used before the current balance. See Priority for Previous Vacation Balances.

Setting Description
Restricting Balance Select which balance the rule uses to determine how many hours to convert.
From pay codes Select which pay codes Dayforce updates.
To pay code Select which pay codes Dayforce applies after the update.
To pay category (Optional) Select a specific pay category Dayforce also applies after the update.
Apply pay category multiplier Select this checkbox to configure the rule to apply the multiplier associated with the new pay category.
Reset rate Select this checkbox to configure Dayforce to reset the rate for the updated pay codes from their original rate to the employee’s base rate.

Example: Business Needs

Employees are only paid for vacation time up to the amount accrued in a Vacation Dollars balance. An employee requests eight hours off but only has enough Vacation Dollars balance for four hours. The employee should be able to create a single time away from work request for the entire eight hours, and four of those hours should be paid vacation.

Example: Configuration

To configure the rule for this example:

  1. In the Restricting Balance drop-down list, click Vacation Dollars.
  2. In the From pay codes setting, click Unpaid Time Off.
  3. In the To pay code drop-down list, click Vacation Paid.

Example: Results

According to the configuration in this example, when an employee creates a time away from work request that exceeds their Vacation Dollar balance, they need to select the Unpaid Vacation pay code (that is, reason). Because the employee has accrued enough vacation dollars for four hours, the rule then converts four hours of the unpaid vacation pay code to the paid one.
