HMRC DPS

The HMRC DPS background job returns updated employee and tax information from the HMRC. The job retrieves the following information:

  • Updated tax codes
  • Start and stop student loan and post-graduate information
  • Updated NI numbers
  • Updated P45 information

Note: The HMRC Data Provisioning Service (DPS) is used to send information from the HMRC to employers that could previously be retrieved only through EDI.

Settings

Start Date: The look-back date that is used to check for records the first time the job runs. To avoid duplicate entries and missing records, enter a date that immediately follows the last manual update. For example, if you manually updated tax records from the HMRC portal on January 31, set the start date to February 1.

Truncation Days: Used to clear out data from database tables once the records are processed. You can use the default value of 90 days unless you have a specific requirement to clear the tables more or less frequently. For more information, contact your Dayforce representative.

Schedule

You can schedule the HMRC DPS job in the Available Jobs tab of System Admin > Background Jobs. To make sure that employee data is always up to date, it’s best practice to schedule the job to run daily at 12:00 AM with the Minutes Offset field set to 0. This ensures that any updates from the day are applied to the employee's tax record. The specific time that the job runs can vary to avoid overlapping with other jobs.

Notification

You can configure the HMRC DPS notification to notify subscribed users and roles when the job returns information from the HMRC. See HMRC DPS Notification.
