GL Default Run Settings

The settings in the Default Run Settings tab in Payroll Setup > General Ledger determine how general ledger (GL) information is shown in Payroll, in the Employee Preview slide-out panel, in the GL Preview tab for a selected employee.

An icon is included at the top left corner of the displayed section in the GL Preview tab that identifies which chart of account was used to render the values displayed, as illustrated in the following screenshot:

Available options in the Default Run Settings tab
Setting Description
Break Out Disbursement Details Splits pay records into check and direct deposit details; if the option is cleared, the amount is a combined net total.
Apply Default Labor Values

The Apply Default Labor Values checkbox works in conjunction with the Payroll Policy option to Apply employee default labor in the AutoPay and Gross Earning Rules (the rules that instruct the payroll engine about how to generate earnings). Payroll Policy rules with the Apply employee default labor option selected send the earning records from payroll to the GL engine with all of the project, docket, and labor metric cost center values populated.

  • If the checkbox is cleared, Dayforce leaves the project, docket, and labor metric cost center values empty for all of the offsetting records (deductions, garnishments, taxes, and net), just as they are sent from the payroll engine. In this case, the only way to populate these cost center values in the general ledger is to specifically set them as an override in a configured allocation rule.
  • If the checkbox is selected, Dayforce updates all of the offsetting records with the same default values for project, docket, and labor metric cost centers used to generate earnings. This provides an initialized value for the cost centers that can be used as criteria for conditional GL configurations. These initial values can still be specifically overridden by a configured allocation rule. But enabling this option, also provides the value used for override cost centers that aren’t specifically populated by a configured allocation rule.

Break Out Premium Portion Creates separate debit and credit records to reflect deduction amounts that should have been withheld from employees' pay but were not. Clearing the checkbox omits this information.

Post Current Period Entitlements Only (Implementation Only) Prevents duplication of the initial balance if an implementer loads it within the current pay period when it is already recorded in the GL.
Include Entitlement Taken from Accrual Liability Posting

Includes data on entitlements that have been taken by employees from accrual liability postings. For instance, the payroll expense is offset by the vacation liability, then the vacation expense is recognized by offsetting net pay.

Clearing the checkbox omits data on entitlements that have been taken by employees from accrual liability postings. For instance, the payroll earning expense is offset directly by net pay.

Best practice: Select this checkbox. If the checkbox is cleared, the entitlements taken from accrual liability postings are hidden from GL and aren’t available for complete calculation purposes.

Include Entitlement Taken during Rollovers

Includes data on entitlements that have been taken by employees during rollovers. Clearing the checkbox omits this information.

Display Home Org Values in GL Preview Columns

Shows the employee’s primary work assignment for each line item in the GL Preview tab of the Employee Preview slide-out panel in Payroll. This ensures that the preview is consistent with the Payroll GL Export file when home tokens are used in the export definition. This is different from the default behavior where the application displays the actual work assignment for each line item in the GL Preview tab rather than always showing the primary work assignment.

Default Chart of Accounts

Identifies the specific override detail set to be used for rendering the result show in the General Ledger tab in the Employee Preview slide-out panel in the Payroll feature. When you select an option in the Default Chart of Accounts drop-down list, Dayforce shows the following in the GL Preview tab:

  • Journal Number Override
  • Work Location Ledger Code Override
  • Job Assignment Ledger Code Override

If you don’t make a selection, no override information is included in the earning statement.

Enable TrueUp Fix With this option selected, for the valuation of both current accrual and initial value, the base rate as of payroll period end will apply. This option improves the existing true-up calculation for greater accuracy in balance valuation.

Note that this option is selected for new customers (implemented as of release 63.2.00), but not selected for existing customers. After this option has been selected, it can’t be cleared. Selecting the option can potentially cause one-time true-up deltas that will be very difficult to reconcile, and the user will be warned of this when selecting the option.
Apply Labour% and GL splits by working day

The Generate Autopay by business date checkbox must be selected under the relevant Auto-pay rule in Payroll Setup > Payroll Policies to enable this checkbox.

If selected, Dayforce applies Labor and GL Splits for its respective business day instead of pay period date and changes the Apply EWA Labor % and GL split to be effective per its respective business day instead of the pay period end.

Paygroup default chart of accounts grid

Because the GL Export is produced at the pay group level, you can configure the default settings for the GL Preview at the pay group level, whether or not you have selected an option in the Default Chart of Accounts drop-down list.

You can add an entry for each pay group in the Paygroup default chart of accounts grid by selecting an entry in the Pay Group drop-down list and a corresponding override setting for that pay group in the Override drop-down list.

When you are using the General Ledger Reporting feature, the settings in the grid are used when the Populate Payroll General Ledger Reporting Data Tables background job is executed. The grid also identifies which pay groups should run the background job at payroll commit.

The values used by the background job are persisted for audit purposes in the Job Information tab in System Admin > Background Jobs and in Payroll > General Ledger when you click the link in the BJE Reference column for a given item in the list of general ledger reporting data entries.

Settings in the Paygroup Default Chart of Accounts grid
Setting Description
Pay Group The pay group for which you are setting the GL Preview override. The options listed are configure reflect those that are configured in Pay Setup > Pay Group.
Override The override for the GL Preview. The options listed reflect those that are configured in Payroll Setup > General Ledger, in the Chart of Accounts tab.
Generate Reporting Data On Commit

Determines if the Populate Payroll General Ledger Reporting Data Tables background job runs automatically when you commit the pay group set up in this grid. See Populate Payroll General Ledger Reporting Data Tables.

The column is shown when the client property Populate Payroll General Ledger Reporting Data Tables is selected. You can find the client property in the System Admin > Client Properties screen, in the Properties tab.
