Explanation Statements

An explanation statement is an earning statement (payslip) summary that provide employees with a detailed description of each line item in their earning statement. Employees can access their explanation statements in self-service, in the Earning Statement slide-out panel, in the Explanation tab. Administrators can view employee explanation statements when viewing an employee’s record in People, in the Statements > Earnings screen, in the Explanation tab.

Explanation statements are available for employees in Canada, United States, United Kingdom, Ireland, Australia and New Zealand. If you are logged in with the English (UK) culture setting, "earning statement" becomes "payslip" in the interface.

To use an explanation statement, click a section or line item to show its definition. You can toggle between the year to date and current period totals with the View YTD and View Current buttons.

Explanation tab in Earnings screen displays a description for the Employer Taxes line item.

Configure Explanation Statements

You can change the order of the sections and create custom descriptions in Payroll Setup > Explanation Statements.

The descriptions that you create in the Overview section can be used as both the section description and the default description. Default descriptions are automatically applied to line items that don't have a defined description.

The following sections are configured separately in Payroll Setup > Explanation Statements, but share overview descriptions and are grouped together in generated explanation statements:

  • Post-Tax Deductions and Post-Tax Deductions - Garnishments
  • Memo Information - Deductions and Memo Information - Earnings

Changes made to the overview descriptions in these sections are applied to both sections. For example, if you create an Overview description in the Post-Tax Deductions section, it is automatically added in the Post-Tax Deductions - Garnishments section.
