Entitlements

This section describes how to configure entitlements, which dictate how employees earn balances that represent their benefits, such as vacation time or personal days. Entitlements are configured in entitlement policies, which are made up of several components and dictate:

  • When, or at what frequency, employees earn more benefits. For example, you can configure an entitlement so that employees earn more vacation time every three months. This functionality serves as the entitlement’s recurrence, which you configure in Pay Setup and assign to the appropriate entitlement.
  • How often benefits are paid out or reduced. For example, you can configure entitlements so that at the start of every year, employees can carry over only five unused vacation days from the previous year. This functionality is the entitlement’s rollover recurrence.
  • Which employees qualify for different entitlements, typically based on seniority. For example, you can configure the entitlements in Dayforce so that employees with zero to three years of service receive 10 vacation days a year, and employees with over three years get 15 vacation days a year.
  • Whether employees are paid out for their entitlement balances or if their balances carry over at the end of the rollover period. This functionality is controlled by the Balance Carry Over Rule, which runs on the entitlement’s rollover recurrence.
  • Note: Dayforce creates a new balance period when an entitlement level (or, ruleset) runs on the selected rollover recurrence, even when the Balance Carry Over Rule isn’t configured in the entitlement level.
  • How many units of each benefit employees earn. This functionality is controlled by either the Award Balance Amount Rule or the Prorate Worked Minutes Rule, which run according to the entitlement’s recurrence.

You can configure Dayforce to treat each entitlement differently. For example, based on how you configure each entitlement rule and qualifier, you can configure Dayforce so that employees qualify to earn varying rates of vacation days and sick days. See Entitlement Rules and Qualifiers.

To configure entitlements, you must:

  1. Configure recurrences. See Recurrences.
  2. Set Up Entitlements
  3. Configure Entitlement Policies

You can also configure grant-based entitlements so that Dayforce tracks how much of a balance an employee is granted, in addition to how much they’ve earned or accrued. See Grant-Based Entitlements.

If necessary, you can configure end-date entitlements if you need to end balance periods and pay out or transfer an employee’s remaining balance. See End-Date Balance Periods.

After entitlement policies are configured, you or other users with access, such as managers or HR professionals, can assign them to employees in People. See Update Employment Status Records.

Also, depending on your access, you might be able to review how Dayforce’s entitlement engine calculates and grants employees balances. You can do this by opening an employee’s profile in People and, in the Work > Balances screen, clicking the Entitlement Tracer button. You can select a specific balance and review each transaction that includes the balance for a duration of your choosing. For system-generated transactions, you can view how the entitlement rules and qualifiers in the employee’s entitlement policy affected their balance. See Employee Entitlement Details.
