Enter Direct Deposit for US Employees

You can add or update an employee's bank account information used for payroll direct deposits. See Payroll Direct Deposit Information.

Role feature access: Application Container > People > Payroll > Direct Deposit > Direct Deposit

Before You Begin: If the employee needs to be paid with a payroll card, you should review Overview of Comdata Payroll Cards, which has instructions for configuring and issuing payroll cards to employees. This doesn't apply to Dayforce Wallet.

If you want to verify all new and modified employee bank account information by sending a prenote, in System Admin > Client Properties, enter a value greater than zero in Number of Pre-note Days. The recommended value is 10 days.

To enter direct deposit information for employees in US organizations:

  1. Go to People, open the employee profile, and click Payroll > Direct Deposit.
  2. Click Add
  3. In the Banking Details section, specify the employee's financial institution by entering its routing transit number in the Routing # field. Dayforce validates the transit number, and the corresponding financial institution is automatically displayed in the Institution Name field.
  4. Note: If you selected the Payroll Card account type, Dayforce automatically assigns a routing number and doesn't require a value in the Institution Name field.
  5. Enter the employee's account number in the Account Number field.
  6. If the employee's direct deposit account requires confirmation by pre note, select the Requires Pre Note checkbox and then enter the number of days before being paid that the prenotification is required in the Number of pre note days field. The PreNote File Sent On field is read-only and shows the date when the prenote file was generated in Dayforce.
  7. In the General Details section, select the account type in the Account Type drop-down list: Checking or Savings.
  8. If your employee has only one direct deposit account, in the General Details section, select the Remainder checkbox.
  9. If your employee has more than one direct deposit account, you must define how the pay is distributed between accounts.
    1. Designate one account to accept any residual pay amounts that remain after distribution. Select the Remainder checkbox and leave the Deposit Amount field blank.
    2. For each of the other accounts, in the Deposit Type drop-down list, select whether Dayforce should use amount or percentage to calculate the deposit. In the Deposit Amount field, enter the amount or percentage of the pay to deposit into that account.
    3. Click Move Down to move the designated “remainder” account to the bottom of the table.
    4. For the other accounts, click Move Up to assign the processing order during distribution. For example, if you move an account to the top of the table, the paycheck amount is distributed into this account first before the other accounts.
  10. Click Save.

When a US employee has a secondary direct deposit account for a specific dollar amount or percentage, and the account is in pre-note status, Dayforce pays the dollar amount or percentage to the active account on the employee's profile that has the Remainder checkbox selected, rather than through a physical check. If the employee doesn't have an active account that has the Remainder checkbox selected, Dayforce pays the amount through a physical check.

Set Up Direct Deposit for Comdata Payroll Cards

As part of setting up an employee to use Comdata payroll cards, you must configure the employee's direct deposit records so that some (or all) of their pay is disbursed to the payroll card. You can only do this step when you have issued a payroll card to an employee. See Configure Direct Deposits for US Employees Who Use Payroll Cards.
