If a calendar record is already associated with a vacation bidding session, you might be able to edit only some of its details, or add additional submission and processing rounds to the calendar. Further, depending on whether the calendar is linked to a pending or active bidding session, you might be able to edit only specific settings and delete only specific records.
When you add a new round to a calendar period that’s linked to an active session, Dayforce shows an informational message in the Problems panel indicating that you should synchronize the new round manually. To do this, you must go to Vacation Bidding > Vacation Bidding Sessions, select the appropriate bidding session, and click Refresh in the Select Rounds screen of the edit wizard. See The Vacation Bidding Session Wizard in the Manager Guide.
To edit a calendar record:
- Go to Vacation Bidding Setup and open the Calendars tab.
- In the left side panel, select the calendar record.
- In the General panel, edit the calendar’s name, description, and reference code. Reference codes must be unique and must not contain special characters.
- In the Periods section, do any of the following:
- To add a period record to the calendar, click Add. Enter a name, description, and reference code for the period, and specify the period’s start and end dates. In the Submission and Processing Rounds subsection, click Add to add a submission round to the period and configure the round’s effective submission period, processing date, and associated bidding policy.
- To add a round to an existing calendar period, expand the appropriate period record and click Add in the Submission and Processing Rounds subsection. Configure the round’s effective submission period, processing date, and associated bidding policy.
- Note: Remember, if you add a new round to an active session, Dayforce indicates that you should synchronize the new round manually.
- To delete a calendar period, select it and click Delete. If the period you’re attempting to delete is linked to an active or pending session, Dayforce shows a confirmation dialog box where you can confirm your deletion.
- To delete a future-dated, inactive round from a calendar period, expand the appropriate period record, select the appropriate round in the Submission and Processing Rounds section, and click Delete.
- To edit the name, description, and reference code for a period, edit the text in the Name, Description, and Reference Code fields. Reference codes must be unique and must not contain special characters.
- To edit a period’s start and end dates, select the appropriate period and edit the dates in the Period Start Date and Period End Date fields.
- Note: You can’t edit these fields if the calendar is already associated with an active vacation bidding session.
- To edit the effective period, processing dates, and bidding policy of a period’s submission rounds, expand the appropriate calendar period record and edit the selections in the appropriate Effective Start, Effective End, Processing Date, and Bidding Policy fields.
- Note: You can only edit effective periods, processing dates, and bidding policies for pending rounds.
- Click Save. If you edited or deleted any records that affect an active or pending session, Dayforce shows a confirmation dialog box where you can confirm your changes.
