You can use the Edit button in People to update several employee records at once. This tool is intended for making a large number of changes to a specific set of employees, or all of your employees.
Before You Begin: If your organization uses Position Management, the Edit button described below isn't available, and you must edit employees one at a time.
Updating a set of records involves defining which employees receive the assignments, and what values Dayforce assigns to their records. Dayforce can assign a specific value to different kinds of fields. For example, you can change their pay policy or switch their pay class.
To edit multiple employee assignments:
- Go to People and select the employees that you want to edit.
- Click Edit and select an option in the drop-down list:
- Edit All Filtered Results: Update all of the employees returned by the configured filters. If you haven't applied filters and all employees are shown, all employees are updated.
- Edit Selected: Update the records for employees you have selected from the list by selecting the checkbox associated with their record.
- The Edit wizard opens:
-
- Select the pay group country. You can make edits only to employees in the same country.
- Note: You might see an Unassigned option in the list of countries if there's a pay group configured in Dayforce that doesn't have an associated country.
- Click Next.
- Select the fields to update. Your access determines which fields are available. If you don't see the fields that you expect, check the access authorizations assigned to your account.
- Click Next.
- Select the values that you want assigned to the eligible employees in the drop-down lists and entity selectors. Some values are available only to employees in certain pay group countries.
- If you selected Primary Job Assignment and Location in the previous Select Fields step of the wizard, the Assign Values step also includes a message indicating that updating the job assignment or location can impact several fields. Leave the checkbox in this message selected to clear the fields, or clear the checkbox to copy the values from the previous record. If the location and job assignment are the same as what an employee currently has, these fields are always copied from the previous record, whether or not this checkbox is selected.
-
- Other notes about updating job assignment or location:
- If you clear the above checkbox, the Rate Level and PA Taxation Worksite fields are copied over to the new record only if they're valid for the job assignment/location selected.
- If the Virtual checkbox selection remains the same in the new record, the value in the Bank Branch Address field of the old record is copied to the new record.
- Click Next.
- Dayforce applies validation and shows a preview that summarizes the changes you’re about to make and indicates how many employees will be updated.
- You can make individual updates to records in this screen. To filter the list by employees with individual updates, select the Show Individual Updates Only checkbox.
- To exclude one or more employees from updates (for example, if you added them accidentally) select the Exclude checkbox next to their employee number. To filter the list by excluded employees, click the Show Excluded Employees Only checkbox:
-
- To apply the changes, click Submit.
- Dayforce shows the progress as the edits are assigned. Only one job can run at a time so, if there is a job in progress, you can't submit another job until it’s finished. When the update is complete, Dayforce shows the results, including any errors that might have occurred.
-
- If some records weren't updated because of an error, Dayforce shows a Resubmit button. You can update the employee's information to resolve the error and click the button to run the job again and update those employees.
- If you excluded any employees in the Preview step, the Results step of the wizard lists these employees in the Excluded tab:
-
- Click Mark as Complete.
- When you mark a job as complete, you can't review the results again.
