Dynamic Staffing Rule

The Dynamic Staffing Rule defines which roles must provide coverage when certain employees are scheduled to work.

Dynamic Staffing Rule settings
Setting Description
Min # People Source The minimum staffing requirement.
  • If Number selected, enter required number
Used only if you select an option in the Min # People Source setting. The minimum number of employees required to provide coverage.
Severity

The response to a violation. When a violation occurs, Dayforce marks the shift with an icon and shows an alert in the Problems panel in Schedules.

  • Critical (): You can’t save the schedule until you correct the problem.
  • Error (): You’re alerted that you should fix the problem, but you can still save the schedule without correcting it.
  • Informational (): You’re informed of the scheduling violation, but no action is required or expected.
  • Warning (): You’re alerted about the scheduling violation, but you can still save the schedule without correcting it.
Time Period Start Basis

When the staffing requirement begins:

  • Close: At the end of the location’s operating hours.
  • Fixed: At the time defined in the Time Start setting.
  • Open: At the start of the location’s operating hours.
  • TimeRange: The start time is based on a location daily property that’s configured with the Time Range data type.
Start Adjustment The number of minutes to offset the start of the coverage requirement, based on the start time that you select in the Time Period Start Basis drop-down list. To offset to an earlier start time, enter a negative value. To offset to a later start time, enter a positive value.
Start Time Range If you selected TimeRange in the Time Period Start Basis drop-down list, use this setting specifies which location daily property defines the start of the coverage requirement.
Time Start If you selected Fixed in the Time Period Start Basis drop-down list, use this setting to define the specific time at which the coverage requirement begins.
Time Period End Basis

Defines when the staffing requirement ends:

  • Close: The requirement ends at the end of the location’s operating hours.
  • Fixed: The requirement ends at the time defined in the Time End setting.
  • Open: The requirement ends at the start of the location’s operating hours.
  • TimeRange: The end time is based on a location daily property that’s configured with the Time Range data type.

End Time Range If you selected TimeRange in the Time Period End Basis drop-down list, use this setting to specify the location daily property that defines the end of the coverage requirement.
Time End If you selected Fixed in the Time Period End Basis drop-down list, use this setting to define the specific time at which the coverage requirement ends.
Is covered by breaks Require coverage for breaks.
Is covered by meals Require coverage for meals.
Included (Coverage) Enables the Emp Properties (Coverage) drop-down list. If you don’t select this checkbox, the rule ignores any employee properties that you select in the Emp Properties (Demand) drop-down list.
Emp Properties (Coverage)

The role that must provide coverage when an employee with the employee property selected in Emp Properties (Demand) is scheduled to work. The number of employees that must provide coverage depends on the number that you enter in the Min # People Needed field.

You configure employee properties in HR Admin > Employee Properties.

Included (Demand) Enables the Emp Properties (Demand) drop-down list. If you don’t select this checkbox, the rule ignores any employee properties that you select in the Emp Properties (Demand) drop-down list.
Emp Properties (Demand) The role that requires coverage when scheduled.
Skill (Demand) The skill that requires coverage when scheduled.

Example

At least one employee must be scheduled between the hours of 8:00 AM and 4:00 PM. Non-manager employees must always be scheduled with a manager, but employees that are managers can work alone.

To configure the rule for this example: 

  1. In the Min # People Source drop-down list, click Number.
  2. In the If Number selected, enter required number field, enter 1.
  3. In the Severity drop-down list, click Critical.
  4. In the Time Period Start Basis drop-down list, click Fixed.
  5. In the Time Start field, enter 8:00 AM.
  6. In the Time Period End Basis drop-down list, click Fixed.
  7. In the Time End field, enter 4:00 PM.
  8. Select the Is covered by breaks, Is covered by meals, and Included (Coverage) checkboxes.
  9. In the Emp Properties (Coverage) drop-down list, click Manager.

If you schedule a non-manager employee to work without a manager between the hours of 8:00 AM and 4:00 PM, Dayforce shows a critical error message in the Dynamic Staffing tab of the Problems panel in Schedules. However, if you schedule a manager to work and don’t schedule any non-manager employees, no error appears because managers can work alone.
