Deduction and Earning Groupings

Payroll groupings are set up in Payroll Setup > Groupings in either the Deduction Groupings tab or the Earnings Groupings tab.

Before You Begin: Before you can configure a payroll grouping, you must configure the earnings or deductions to be grouped. More information is available in Add Payroll Groupings and Configure Deductions.

Payroll groupings are used to group and sum specific earnings or deductions so that these accumulated amounts can be reported in the Payroll Register Report, in employee earning statements and payslips, or can be used in calculations like those used for life and disability plan options.

Some ways that you can use payroll groupings are as follows:

  • To add together all of the regular earnings, overtime, and commission earnings for employees in order to calculate a 5% bonus on the sum amount.
  • To track employee deductions for medical, dental, and long term disability insurance deductions in order to reimburse 25% of employees’ total insurance payments.
  • To include all benefit plan deductions and to include a year-to-date amount of those deductions in the Payroll Register Report.

Depending on what kind of grouping you are setting up, there are some differences in the options offered in the Deduction Groupings tab and the Earning Groupings tab. The following table lists the similarities and differences.

General
Name Name of the grouping. Required.

Description

Description of the grouping.
Deferred Comp or Pension Plan Select the checkbox to make the grouping available for selection to Deferred Compensation or Pension Plan Setup limits.
Hours Based Checkbox (earning groupings only). Accumulates the sum of hours for all selected earnings when they are hours-based. Amounts are calculated based on the hours associated with the earning.
Benefit Checkbox. Select to make this grouping available for selection to Benefits plans.
Reference Code Cross-reference code for exports. See Cross-Reference Codes.
Is Pension Grouping Checkbox (UK only). Select to view or report on pensionable pay earning groupings and make the pensionable pay balance visible in the Summary and Employee sub-tabs of the Preview tab in Payroll > Pay Run Management. Eligible Earnings or Eligible Deductions
Display Reference Code Select the checkbox to display the deduction or earning code reference (XREF) code along with its name.
Available Field with a list of available deduction or earning codes that can be moved to the Current field to be explicitly included in the grouping.
Current Field into (or from) which you can move available deduction or earning codes to explicitly include them in the grouping.
Reporting Options
Accumulation Type

Drop-down list with available accumulation types for the grouping: 

  • Current Pay: Total for the current pay period
  • Year to Date: Total for the year to date
  • Month to Date: Total for the month to date
  • Quarter to Date: Total for the quarter to date
  • Fiscal Year to Date: Total for the fiscal year to date*
  • Fiscal Month to Date: Total for the fiscal month to date*
  • Fiscal Quarter to Date: Total for the fiscal quarter to date*
  • Lifetime: Lifetime total to date
  • Last Period: Total from last pay period
  • Last Year: Total from last year
  • Last Quarter: Total from last quarter
  • Last Month: Total from last month

* You must configure your fiscal calendars before you can use any of the fiscal options. See The Fiscal Calendar Feature.

Print Label Required field: Enter the label to display with the groupings accumulation period on the selected report output.
Description Field for a description that is meaningful to you to describe the groupings accumulation period.
Include in Payroll Register Select the checkbox to include the selected accumulation period amount for the grouping in the Payroll Register report.
Include in Earning Statement Select the checkbox to include the selected accumulation period amount for the grouping in earning statements.
Include in Benefit Export

Select the checkbox to include the benefits export. You can select up to 5 groupings; if you select more than 5 groupings (earnings and deductions), the application returns an error and you cannot save changes.
