These reports provide historical or upcoming data minimization activity information for employee or candidate data. They can show different results depending on whether the background job last ran in Identify Only mode or in Identify and Delete mode. If the last run was in Identify Only mode, the reports show a list of people who have data that is outside the retention policies. It contains information about the people whose data should be deleted, and what action will be taken on that person’s data if Identify and Delete mode is enabled in Data Management Center.
If the background job last ran in Identify and Delete mode, then the report contains details about which people were affected.
Note: The report doesn’t include any details for employees that were fully deleted in the past because their master record has been removed completely from Dayforce. If you need to keep a record of people who have been fully deleted, you should save a copy of the previous Identify Only report each time you run it.
The report contains the following columns:
- Candidate Display Name (candidate report only): Shows the candidate’s name.
- Employee Name Number (employee report only): Shows the employee’s name and employee number.
- Existing Employee (candidate report only): Shows whether the candidate is an existing employee.
- Employment Type (employee report only): Shows the employment type, for example, contractor or pensioner.
- Run Mode: Specifies the mode (identify or delete) that the job was running in to create the activity.
- Run Date UTC: Shows the date that the job was run.
- Impact on Person: Shows whether the person has been identified for full or partial data removal.
- Country: Shows the country associated with the personal data management policy.
- Policy Type: Shows the type of data associated with the policy.
- Policy Name: Shows the name of the policy.
- Retention Value: Shows the allowed length value for the data retention policy.
- Retention Period: Shows the unit of measurement for the data retention policy.
- Retention Threshold UTC: Shows the date (in UTC format) that the data exceeds the data retention threshold.
- Policy Activity: Specifies whether the record relates to an action that will be taken in the next background job run, or if the action was taken in the last run.
