Create Employment Statuses

You can create employment statuses in HR Admin > Status. An employee’s status describes whether they’re available for work. A status can also describe why an employee isn’t available. For example, if you want to record that an employee was terminated, you need a “Terminated” status.

Note: You can’t create pre-start statuses because they’re only created automatically for new hires via forms or HR Import. See Pre-Start Status for New Hires.

To create employee statuses:

  1. Go to HR Admin > Status and click Add.
  2. Enter a name and description of the status.
  3. Enter a value in the Reference Code field. Reference codes are used to export data to other applications. These codes must be unique and must not contain special characters.
  4. In the Status Type drop-down list, select an option to define the status.
  5. In the Effective Starting Point of Day drop-down list, specify when the status change becomes effective. For example, terminations might be effective at the end of the day, while leaves of absence might be effective at the start of the day:
    • End of Day: The new status becomes effective at the end of the selected day.
    • Start of Day: The new status becomes effective at the start of the selected day.
  6. Select the Calculate Deduction Arrears checkbox to apply deductions to accumulate arrears for inactive employees.
  7. This functionality is only used if Dayforce is configured to use the Payroll functionality. Typically used for benefit deductions, administrators can configure Dayforce to continue to apply benefit deductions to inactive employees so that these amounts go into arrears while the employee is inactive and are paid upon the employee’s return to work.
  8. For example, if an employee pays $25 in deductions for their health benefit plan per week and goes on an unpaid leave of absence for four weeks, with this new functionality Dayforce can be configured so that the employee’s health plan deduction goes into arrears $100 while they are on leave.
  9. Dayforce only accumulates deductions in arrears for inactive employees if their inactive status is configured with the Calculate Deduction Arrears checkbox selected and the deduction is configured with the Allow Arrears checkbox selected as part of the deduction configuration.   10. Click Save.
  11. Dayforce adds the employee status to the list and it can now be assigned to employees. You can also configure employment status reasons, which can be selected for specific employees as a record or an explanation for their status.
