Vacation bidding subgroups are a smaller grouping of employees in a vacation bidding group. When added to vacation bidding sessions, sub-groups act as a qualifier that determines if employees are eligible or ineligible for vacation time. For example, when you create a vacation bidding session in Vacation Bidding > Vacation Bidding Sessions, you must configure default staffing or vacation limits for the dates on which employees bid for vacation. When you perform this step, you can either:
- Configure a minimum number of employees that are required to work dates in the vacation period, or
- Configure the maximum number of employees that can simultaneously take time away in the vacation period.
These limits apply to everyone in the vacation bidding group. When sub-groups are configured, you can configure an extra level of eligibility for a smaller set of employees (that is, the employees assigned to the sub-group).
You configure vacation bidding sub-groups in HR Admin > Employee Properties. After they’re configured, you must add them to the appropriate vacation bidding groups in the Groups tab of Vacation Bidding Setup. Important: If you create a vacation bidding sub-group assignment for an employee, they must also be assigned to the appropriate vacation bidding group (in People in the Work > Vacation Bidding Group screen) that contains the sub-group.
The Vacation Bidding Sub Group employee property is a system employee property, meaning you can’t edit its name, description, and reference code. However, you can limit its availability to specified roles by making selections in the Role Security drop-down list.
To configure the vacation bidding sub-group employee property:
- Go to HR Admin > Employee Properties.
- In the left side panel, expand the System section and select Vacation Bidding Sub Group in the list. Dayforce shows the employee property’s settings in the General and Data sections.
- (Optional) In the General section, select roles in the Role Security drop-down list to limit vacation bidding sub-groups to the specified roles.
- In the Data section, in the Pick List Options subsection, click Add.
- In the Name field, enter a name for the sub-group. For example, if you’re creating a sub-group for overnight warehouse employees, enter AM Warehouse Employees.
- In the Reference Code field, enter a reference code for the sub-group. This code must be unique and must not contain special characters.
- Click Save.
