Configure Right to Work Verification (VEVO)

Before You Begin: This functionality is designed to help customers using the VEVO integration to manage compliance with right to work (RTW) legislation in Australia. For information about using CheckWorkRights, see Configure Right to Work Verification (CheckWorkRights).

The following configurations support verification of VEVO RTW status for employees in Australia:

Assign Work Rights Indicator

The work rights indicator is shown in the employee profile header in People.

To assign the work rights indicator:

  1. Go to System Admin > Roles.
  2. Select the role that you want to assign access to.
  3. Click the Features tab and select the Right to Work Status Indicator checkbox under Application Container > People > Employee Profile > Personal.
  4. Select the VEVO Integration role feature checkbox.
  5. Click Save.

Configure the Right to Work Document Upload Form

You must configure the Right To Work Document Upload form with the Australian VEVO Right to Work Check workflow so that when employees submit the form, Dayforce automatically sends a request to VEVO to validate the employee's right to work.

To configure the Right to Work Document Upload form for VEVO integration:

  1. Go to Workflow Administration > Role Privileges and click Add.
  2. Do the following:
    • In the Parent Feature column, select Home Forms List.
    • In the Form column, select Right to Work Document Upload.
    • In the Workflow column, select Australian VEVO Right to Work Check.
    • In the Role column, select the roles that will have access.
  3. Click Save.

Assign Access to RTW Documents

To assign access to RTW documents:

  1. Go to Documents > Admin > Document Types.
  2. Do the following for the Confidential Identifications document type:
    1. Select the document type in the list.
    2. In the Available Roles list, select the role that you want to assign access to.
    3. Click the right arrow to move the roles from the Available Roles list to the Roles list.
    4. In the Visible To drop-down list, select Manager.
    5. Specify the permissions for the role using the Create, Read, Update, and Delete checkboxes.
    6. Note: For manager and recruiter roles, you must select at least Read so that they can view the documents in Recruiting.
  3. Click Save.

(Optional) Configure RTW Record Expiry Date Notifications

You can configure notifications for managers and employees to remind them when an RTW record in the Identification section of the Personal > Confidential Information screen in People is about to expire. For example, you can configure Dayforce to send notifications every week within thirty days of the record expiring.

This involves configuring the Confidential Information Expiring system notification for employees and managers of the affected employee, as well as the following background jobs:

  • Employee Confidential Information Expiring Alert
  • Manager Confidential Information Expiring Alert

To configure each of the notifications:

  1. Go to System Admin > System Notifications.
  2. Click the Channels tab.
  3. Depending on which notification you’re configuring, go to the Human Resources - Employee heading or the Human Resources - Manager heading and select Confidential Information Expiring.
  4. Use the drop-down lists in the columns next to the notification to select which channels to enable. The available channels for these notifications are Message Center, Email, and Text Message.
  5. Click Save and then click the Subscriptions tab.
  6. Select the notification in the sidebar.
  7. Do any of the following:
    • To send the notification to specific user roles, click Add in the Subscribed Roles section. In the dialog box that is shown, select the checkbox next to each role that you want to subscribe to the notification.
    • To send the notification to specific employees regardless of their role, click Add in the Subscribed Users section. In the dialog box that is shown, select the checkbox next to each user that you want to include.
    • To exclude specific employees even if their role is subscribed, click Add in the Excluded Users section. In the dialog box that is shown, select the checkbox next to each user that you want to exclude.
  8. Click Save.

To configure each of the associated background jobs:

  1. Go to System Admin > Background Jobs.
  2. Click the Available Jobs tab.
  3. Select one of the following jobs:
    • Employee Confidential Information Expiring Alert
    • Manager Confidential Information Expiring Alert.
  4. Click Schedule to open a wizard.
  5. In the Job Parameters section, configure the following settings:
    • Confidential Types: Select the confidential ID types to send the notification for. For example, you might select Passport or ImmiCard, or some other type of document.
    • Confidential Types Days: Enter the number of days before the expiry date of the record within which Dayforce sends the notification.
    • Confidential Types Message: (Optional) Enter custom text to include in the notification.
  6. Click Next and in the Schedule section, select the interval at which the notification is sent: Hourly, Daily, Weekly, or Monthly.
  7. Enter the parameters specific to each interval. See Schedule Options for Background Jobs.
  8. Click Next.
  9. In the Confirmation section, click Finish.
