Configure Approval Groups

An approval group is a set of specific users and user roles who can perform similar approvals. The number of approval groups you configure depends on the complexity needed to describe who can approve different labor metrics. For example, if receiving managers, sales managers, and store managers are each responsible for approving time recorded against different labor metrics, then at least three approval groups need to be configured. You can configure approval groups in the Approval Groups tab of Pay Setup > Multi-Approval.

Users can be assigned to an approval group in one of two ways:

  1. By selecting specific users in the Users sub-tab.
  2. By selecting specific roles in the Roles sub-tab.

For example, if all receiving managers and a few corporate users need to approve time recorded against inventory projects, then you need to define an approval group containing the receiving manager role and the specific corporate users.

To configure approval groups:

  1. Go to Pay Setup > Multi-Approval.
  2. In the Approval Groups tab, click Add.
  3. Enter a name and, optionally, a description of the approval group.
  4. Select the Can Approval All checkbox and users who are assigned to the approval group can approve any multi-approval time, even if they aren't specifically assigned to approve time recorded against a multi-approval labor metric.
  5. Note: It's recommended that you configure at least one approval group with the Can Approve All checkbox selected and assign enough users so that there are users who can approve any time, regardless of the labor metrics assigned to it. This ensures that the pay approval process isn't interrupted or delayed by missing approvals. For example, if an employee records time against a project managed by a few specific users who are on vacation or otherwise unavailable, users assigned to the ‘can approve all’ group can approve this time on their behalf. Typically, payroll administrators and other top level users belong to an approval group with the Can Approve All checkbox selected.

To assign specific users to the approval group:

  1. In the Users sub-tab, click Add.
  2. Select a user in the User drop-down list.
  3. Click Save.

To assign roles to the approval group:

  1. In the Roles sub-tab, click Add.
  2. Select a role in the Roles drop-down list. Dayforce shows all of the users with the selected role in the Available column:
  3. List of users in the Available column for selected role.
  4. Assign users to the approval group by moving them from the Available column to the Selected column using the arrow icons. Users in the Available column are excluded from the approval group.
  5. Note: When new users are assigned the role, they are automatically included in the approval group. To exclude these users from the approval group, you need to edit it the so that their name is listed in the Available column.
