Best Practices for Sections and Elections

Sections

For mobile and web enrollments:

  • The sections are predefined and cannot be edited.
  • The section names don't show to employees during enrollment.
  • If a section doesn't include an election set, it won't be available for employees during the enrollment.
  • Validation based on the plan type, plan subtype or both are available to ensure that the configuration is correct for each section.

Election Sets and Option Groups

The following best practices are recommended when creating election sets and adding option groups to the sections:

Medical Plans

When the selection mode is Individual - Selections are individual options, the option group must have options associated with a plan that has a plan subtype that includes the word Medical.

When the selection mode is Bundled - Selections contain multiple bundled options, the option group must include options associated with a plan that has a Health plan type.

You can include only one election set in the Medical Plans section.

Health Reimbursement Account

Include options that are associated with a plan that has the following plan subtypes:

  • Healthcare Flexible Spending Account
  • Health Reimbursement Account
  • Health Savings Account
  • Limited Purpose Flexible Spending Account

Dental Plans

When the selection mode is Individual - Selections are individual options, the option group must have options associated with a plan that has a plan subtype that includes the word Dental.

When the selection mode is Bundled - Selections contain multiple bundled options, the option group must have options associated with a plan that has a Health plan type.

You can include only one election set in the Dental Plans section.

Vision Plans

When the selection mode is Individual - Selections are individual options, the option group must have options associated with a plan that has a Vision plan subtype.

When the selection mode is Bundled - Selections contain multiple bundled options, the option group must have options associated with a plan that has a Health plan type.

You can include only one election set in the Vision Plans section.

Other Health Plans

Options added in the option group must be associated with a plan that has a Health plan type.

Include Health plan types that don't fall under Medical, Dental, or Vision, such as Hospital Indemnity Plans, Accident Insurance, and Critical Illness (when defined as a Health plan type).

Basic Life Insurance

Options added in the option group must be associated with a plan that has a Basic Life Insurance plan subtype.

Supplemental Life Insurance

Options added in the option group must be associated with a plan that has a Supplemental Life Insurance plan subtype.

Include Supplemental or Voluntary Employee Life Insurance.

You cannot add options that allow dependents to be covered in this section.

Basic AD&D Insurance

Options added in the option group must be associated with a plan that has a Basic AD&D Insurance plan subtype.

If Basic AD&D Insurance is included with Basic Life Insurance, this section can be blank.

Supplemental AD&D Insurance

Options added in the option group must be associated with a plan that has a Supplemental AD&D Insurance plan subtype.

If there is a combined Supplemental /Voluntary Employee Life /AD&D plan option, this section can be blank as this option would have already been included under the Supplemental Life Insurance section.

Include Supplemental/Voluntary AD&D Insurance.

You cannot add options that allow dependents to be covered in this section.

Long Term Disability Plans

Options added in the option group must be associated with a plan that has a Long Term Disability plan subtype.

When LTD option is set as auto-enroll, it's recommended not to include it in this section unless a Buy-up option is available. Instead include in the Already-Enrolled Options section in the Summary tab.

Short Term Disability Plans

Options added in the option group must be associated with a plan that has a Short Term Disability plan subtype.

When STD option is set as auto-enroll, it's recommended not to include it in this section unless a Buy-up option is available. Instead include it in the Already-Enrolled Options section in the Summary tab.

Dependent Life Insurance

This is the only section that allow dependents to be covered in Life & Disability plans.

Include Spouse Life Insurance, Child Life Insurance, Dependent Life Insurance, Accident Insurance, or Critical Illness options which are defined with a Life & Disability plan type.

Complete the Participant Definition configuration for all options included in this section.

Other Life Plans

Options added in the option group must be associated with a plan that has a Life & Disability plan type.

Include Long Term Care options or any other Life & Disability plan types that don't allow dependents to be covered.

Other Reimbursement Plans

Options added within the option group must be associated with a plan that has a Reimbursement plan type.

Include options that don't fall under Health Reimbursement Accounts such as Dependent Care FSA, Commuter Transit Reimbursement plans, and Commuter Parking Reimbursement plans.

Retirement Plans

Options added within the option group must be associated with a plan that has a Retirement plan type.

Other Benefit Plans

Although no restrictions on plan types or plan subtypes are included in this section, all options in the election set must be of the same plan type.

Include benefit plan options that don't fall under the other sections such as Pet Insurance, Legal Plans, or Weight Loss Programs.

Options within this section don't allow dependents to be covered. The benefit options that allow dependents to be covered should be placed under either the Other Health Insurance section (if Health plan type) or Dependent Life Insurance section (if Life & Disability plan type).

Introduction

The Introduction text for the election set is limited to 2,500 characters. Include plan design details in the Comparison Information section and links to summary plan documents in the Introduction field so that the employee can access these during the Mobile or Web enrollment.

Name

Election set, bundle, and option names should be suggestive and intuitive of the plans that the employee selects. For example, in the Medical Plan section, for the Individual selection mode, a recommended election set name is Medical.

However, if the selection mode is Bundled and the setup includes Medical, Dental, and Vision plan options, then a recommended election set name is Health Plan Bundle. Each bundle name can include the type of plan options that are included in the bundled election set.

Enter 1 in the Min field.

This applies to both the selection modes. Ensure that you include a waive option if a selection is required.

If employees aren't allowed to select more than one individual option or one bundled set of options in the election set Enter 1 in the Max field.
If employees are allowed to select more than one option in the election set Enter values greater than 1 in the Min and Max fields.

Default Option Group Selection Method

For enrollments other than New Hire, select Employee's Previous Selection or Employee's Previous Selection, then Specified Option Group to default the employee's current benefit option as selected in the enrollment.

Additional Information

Validation prevents an option from being used in multiple election sets.

Bundled Options

Bundled option groups are available only in Health sections. Consider the bundled option group configurations for the following scenarios.

Bundled Pre- and Post-tax Domestic Partner Options

If the administrator bundles the pre- and post-tax Domestic Partner benefit plan options, the employee will be enrolled in both when selecting the bundle. The recommended configuration is to include both the pre- and post-tax plan options in the bundle.

Bundled Medical, Dental, and Vision Plan Options

If the administrator bundles the Medical, Dental, and Vision benefit plan options, the employee will be enrolled in all of the options when selecting the bundle. Use the following recommended configuration where applicable:

  • Create the bundle in an election set under the Medical section.
  • In the bundle, include each option that the employee should be enrolled in when selecting the bundle.
  • If the employee can waive Medical while enrolling in Dental and Vision options, ensure the bundle includes the Medical waive option along with the Dental and Vision options.
  • Ensure that the Dental and Vision sections don't contain election sets as eligible options that the employee would elect are already included in the bundle under the Medical section.
