To add departments to a location:
- Go to Org Setup > Organization and select the relevant location in the organizational hierarchy.
- Click Add.
- In the General tab of the slide-out panel, enter a name and description for the new department. By default, the department's parent org unit is set to your selected location.
- Click the Effective From calendar icon and select when the department becomes a part of the location.
- If the department is only open in the store for a limited time, select when it is no longer a part of the location from the Effective To calendar. By default, this field is blank and the new department won’t be removed from your organizational chart in Dayforce unless you delete it.
- In the Level drop-down list, click Department.
- In the Department drop-down list, select which department you want to add.
- The application shows the departments already configured in the Department drop-down list. See Configure Departments.
- In the Zone drop-down list, select which zone the department belongs to.
- It is important to select a zone that matches how zones are configured in Dayforce. See Create Zones.
- (Optional) In the Reference Code field, enter a cross-reference code. Cross-reference codes are used to export data from Dayforce to other applications and must be unique across all org units.
- Important: Don’t use special characters such as hyphens in cross-reference codes. This can cause in issue where employees are unable to record time in Work > Timesheet. Dayforce validates the location reference code value against existing values and won’t let you save duplicate values when you edit an existing location or create a location.
- In the Ledger Code field, enter the code that you want to represent the location in payroll records.
- This code is used when Dayforce exports the payroll information; Dayforce tracks the hours worked in each location and it represents where the labor cost of your organization is being spent by using the ledger codes of each location.
- In the Clock Code field, enter the code that you want to represent the location on clocks.
- Depending on your Dayforce configuration, the hardware clocks upon which employees clock in and out for work on can be used to record location transfers. Location transfers are required when an employee spends time working outside of their primary location. The clock code is the number an employee types on the clock’s number pad when transferring to that location.
- Click Save.
