Add Attendance Policies

You configure attendance policies in Pay Setup > Attendance in the Attendance Policy tab, in the General panel.

Before You Begin: Depending on how you want to set up attendance tracking (for example, to track attendance using raw clock entries), you might need to configure attendance tardy rules. See Configure Attendance Tardy Rules.

If attendance rule policy functionality is available in your Dayforce instance, the Attendance Rule Policy drop-down list is shown in the General panel. You can use this setting to link your attendance policy with an attendance rule policy. If you do this, Dayforce examines both policies when processing attendance changes. In this scenario, Dayforce first examines your attendance policy and then your attendance rule policy, in sequence.

To create an attendance policy:

  1. Go to Pay Setup > Attendance and click the Attendance Policy tab.
  2. Click Add.
  3. In the General panel, enter a name and, optionally, a description of the attendance policy.
  4. In the Tracking Based On drop-down list, select one of the following options to specify what Dayforce examines when determining whether an incident has occurred:
    • Pay / Clock Entry: Attendance is tracked using the regular policy with no raw clock entries.
    • Raw Clock Entry with Pay Adjustment: Attendance is tracked using raw clock entries and pay adjustments.
    • Raw Clock Entry: Attendance is tracked using only raw clock entries (that is, no pay adjustments are included).

  6. In the Max Daily Points field, enter the maximum number of daily points that employees can earn in one day. See Max Daily Points Example.
  7. (Attendance Rule Policy only) Select an attendance rule policy to link it with your attendance policy. If you haven’t set up an attendance rule policy yet, you can link it to your attendance policy after you set it up.
  8. In the Reference Code field, enter a cross-reference code. This code must be unique and must not contain special characters.
  9. Click Save.

Attendance Tracking Example

An employee’s time entry policy is configured with 7 in the Main Round Numerator for Clocking In field, and 15 in the Main Round Denominator for Clocking In field. The employee is scheduled to work at 9:00 AM, but clocks in at 9:06 AM. Because of the rounding rules in the employee’s time entry policy, Dayforce rounds this clock entry back to 9:00 AM on the employee’s timesheet. With Pay / Clock Entry selected, Dayforce uses the 9:00 AM clock entry from the timesheet when determining if an incident occurred, whereas with Raw Clock Entry selected, Dayforce uses the raw clock entry time of 9:06 AM.

Similarly, consider an example where an administrator creates an attendance policy that uses Raw Clock Entry with Pay Adjustment and includes an incident type called Very Late that is linked with a pay code in the tardy rules section of the policy. The administrator assigns the policy to an employee. That employee’s manager adds a pay adjustment to the employee’s timesheet that corresponds to the pay code for the incident type Very Late in the employee’s policy. As a result, Dayforce shows an incident for this pay adjustment in the employee’s attendance details.

Note: Remember, to fully configure an attendance policy to use raw clock entries, you must also configure attendance tardy rules.

Max Daily Points Example

Any shift that has a start time within the day (as set in the employee’s pay group configuration) contributes to that day’s maximum points count.

If an employee’s maximum number of daily points isn’t reached, but an incident occurs where the point value would exceed the maximum, then the incident counts for partial points until the maximum is reached. For example:

  • Employee’s Max Daily Points = 10
  • Incident 1 = 5 points
  • Incident 2 = 4 points
  • Incident 3 = 3 points

Dayforce modifies the value of the third incident from 3 points to 1 point, to avoid surpassing the employee’s maximum number of daily points [5 (incident 1) + 4 (incident 2) + 1 (incident 3) = 10].

Points are counted chronologically according to the order of the events in which they occur. If the value of points collectively exceeds the employee’s maximum number of daily points, then Dayforce changes the value of the points for the last occurring incidents until the maximum is reached.

Note: The value of incidents that occur after the employee has reached their maximum number of daily points are counted as zero.
