Before managers can start offering unfilled shifts to employees, an administrator must enable access to unfilled shifts, set up some notifications in Dayforce, and optionally schedule a background job.
| Action | Description |
|---|---|
| Enable a client property to allow unfilled shifts | In System Admin > Client Properties in the Properties tab, in the Scheduling section, select the Allow unfilled shifts checkbox. |
| Configure shift bidding notifications |
In System Admin > System Notifications, enable the following notifications and subscribe the necessary users or roles to the notifications: |
| (Optional) Schedule the Schedule Shift Bidding Notification background job |
In System Admin > Background Jobs, it’s recommended that you schedule the Schedule Shift Bidding Notification background job to run at least once daily. With this background job scheduled, Dayforce will automatically send out shift bidding notifications to employees and managers at least once a day. If necessary, managers can also initiate this job as needed by clicking Send Shift Available Alert in the Manage Shift Bids panel in Schedules. Dayforce also initiates this background job after a manager approves or denies bids in this panel, and then saves their changes. |
Ad Hoc Shift Bidding Process Flow
At a high level, the end-to-end process flow for ad hoc shift bidding involves the following steps.
| Step | Description |
|---|---|
| 1) A manager creates unfilled shifts. | In Centralized Schedules or Schedules, a manager can create unfilled shifts. Alternatively, a manager can remove the employee that’s assigned to an existing shift to make it unfilled and available for other employees to bid on. |
| 2) The manager posts the unfilled shifts and Dayforce alerts employees. | After creating unfilled shifts, the manager can review the unfilled shifts that they created for the week in the Manage Shift Bids panel. The manager can click Send Shift Available Alert to notify employees about the availability of unfilled shifts for bidding. |
| 3) Employees request the unfilled shifts. |
After receiving a Shift Available notification, employees can request the unfilled shifts in Work > Calendar. Dayforce marks days with unfilled shifts that are available for pickup with the shift bid available icon ( To request the unfilled shift, employees can click Shift Bidding in the menu. Dayforce opens the Unfilled shifts slide-out panel where employees can view details about each unfilled shift that’s available for the week, and request shifts. |
| 4) Managers review the unfilled shift requests and approve the requests. |
In Schedules in the Manage Shift Bids panel, the manager can review the status of the unfilled shifts. Dayforce shows how many bids were placed for the shift, how many qualifying employees are eligible to work the shift, and more. After reviewing the bids, the manager can approve or deny the bids as needed. |
| 5) Dayforce notifies employees that their shift bid requests were awarded or rejected. | After the manager approves or denies bids, Dayforce notifies the employees who were awarded unfilled shifts, and also notifies employees who were denied bids. |
